Description:

Our client, a well-established construction company, is looking for a Project Administrator who will provide co-ordination, planning and control of projects across each stage of the project plan.

About the role:

  • Assist Project Team in producing and organizing project documentation, ensuring timely reports and follow-ups.
  • Complete Job Set Up Requests, including budget details and necessary documentation.
  • Update Master Job List and manage additional Work Orders.
  • Monitor budgets and inform Project Manager of discrepancies.
  • Facilitate Change Request process and prepare billing documentation.
  • Assist in Project Cost Tracking and closing jobs.
  • Handle Hire on and Layoff procedures, ensure accurate timekeeping records.
  • Maintain employee and personnel data in timekeeping systems.
  • Coordinate logistics for project crew and staff.
  • Collect and compile field time sheets, ensure accuracy and compliance.
  • Manage Union employee payments and reconcile time entries.
  • Prepare and distribute necessary payroll documents.
  • Assist with project procurement tasks, including generating requisitions and purchase orders.
  • Reconcile vendor invoices and maintain rental log.

Qualifications:

  • College Diploma in Administration or equivalent, with 2-5 years related experience.
  • Minimum 2 years of administrative experience, preferably in industrial construction.
  • Strong attention to detail and problem-solving skills.
  • Ability to work effectively across all organizational levels and with clients.
  • Self-starting team player dedicated to achieving strategic goals.
  • Capability to multitask, manage conflicting priorities, and adapt to changing demands.
  • Excellent verbal and written communication skills in English.
  • Proficient in MS Office and other relevant software applications.
