Responsibilities:
Financial and Procurement Tasks
- You will provide support on the overall financial tasks such as daily financial data input and reporting, financial archives organisation, scanning and storage, contribution to the financial reports -
- You will ensure assistance and follow-up of the tools for incidentals and non-reimbursable funds
- You will ensure to follow up the procurement rules and report to the Project Manager
- You will ensure financial communication such as contacting service providers/suppliers and other stakeholders and obtaining invoices with relevant supporting documents
- You will contribute to the preparation of Terms of Reference
- You will ensure successful implementation of project’s financial result
Administrative Tasks
- You will be responsible for the overall office management such as answering phone calls, purchase and order of office supplies/materials and maintaining efficient working environment for yourself and the team;
- You will be responsible for the arrangement of meetings with the European Commission, service providers/suppliers, relevant stakeholders and NGOs etc…
- You will provide support to the preparation of minutes during various team and stakeholder meetings
- You will ensure the maintenance of the filing system for the incoming and outgoing letter
Communication Tasks
- You will provide assistance prior, during and after the events/activities including logistics, preparation of checklists, sending invitation emails and making follow-up calls, purchase and preparation of event materials, dispatching invitations to relevant stakeholders, NGOs etc…
- You will be involved in all communication aspects of the project
- You will assist the team to ensure successful implementation of project results
- You will ensure client relations, represent GOPA PACE on the field and contribute to its excellent reputatio
