Description:
Your Role
- Support department head and Project Management Office in general administrative topics to ensure smooth project operations, including preparation of materials for communication such as power point presentations, etc.
- Calendar management (scheduling of all overarching management meetings and coordination of appointments)
- Travel organization (planning and organizing business trips and ensuring correct travel expense reporting)
- Support in general office administration, e.g. email inbox, task delegation and priority setting
- Independent preparation and follow-up of team meetings and team events together with the department team
- Support administration of setting up new accounts for external partners, esp. consultants
- Preparation of SAP reports and assistance in tracking and reporting of project related costs and booking
- Purchase requisitions and ordering of requested materials and services and Interacting with internal and external vendors regarding ordered / requested materials and services, invoices, etc.
Your Profile
- Bachelor’s degree in business administration or comparable preferred experience
- At least 3 years of experience in a comparable task
- Knowledge of ZEISS culture and organization, internal network preferred
- Experience in working with cross-cultural, multinational teams preferred
- Very good MS Office skills (PowerPoint, Word, Excel, Teams)
- SAP skills are a plus
- Strong communication skills, organizational strength and integrity
- Structured way of working as well as a confident and friendly appearance
- Hands-on mentality and pragmatical mindset
- Very good communication skills in German and English, both written and spoken
