Description:

Our client, a leading infrastructure construction firm with operations across North America, is actively seeking a Project Coordinator to join their team in Vaughan.
The Project Coordinator will provide invaluable support to the construction management team, ensuring that projects are executed on schedule, within budget, and to the highest quality standards. The Project Coordinator will play a crucial role in assisting with functional and managerial responsibilities, ensuring contract compliance within specified schedules and budgets.
Salary: $50,000 - $70,000 + Bonus.
Location: Vaughan.

Responsibilities:

  • Regularly liaise with clients, sub-contractors, and vendors to ensure effective communication and coordination throughout project lifecycles.
  • Assist in the preparation of regular progress reports to keep stakeholders informed of project status and milestones.
  • Participate in tender and contract preparation, collaborating with the construction estimator to assemble bids, track inquiries, and manage requests for pricing.
  • Aid in preparing, maintaining, and distributing project documentation, including meeting minutes, requests for information, change orders, and site instructions.
  • Organize and attend weekly/bi-weekly project meetings, taking minutes and ensuring action items are documented and followed up on.
  • Prepare subcontract agreements, purchase orders, change orders, and site instructions as required to support project execution.
  • Organize and track submittals and shop drawings to ensure timely review and approval processes.
  • Compile Close-out Checklist and Submission of Close-out documents.
  • Assist with posting budget and job cost details, maintaining accurate financial records throughout project lifecycles.
  • Maintain safety records and conduct basic safety documentation audits to ensure compliance with regulatory requirements.
  • Support scheduling of meetings, communications, letters, transmittals, couriers, and email correspondence to facilitate effective project management.

Qualifications:

  • Related experience in the civil or commercial construction industry is an asset.
  • Ability to understand architectural and engineering drawings and specifications.
  • Experience working with AutoCAD and 3D modeling software.
  • Proficient with Microsoft Word, Excel, and basic understanding of MS Project.
  • Excellent written, verbal, and electronic communication skills.
  • Strong organizational, administrative, and quality management skills.
  • Ability to multi-task, prioritize, and work on multiple projects simultaneously.
