We currently have an opportunity available for an enthusiastic and experienced Project Administrator/Document Controller to join the growing SAGE Automation team in NSW, based out of North Sydney. The role will involve working with both internal and external customers, so it is essential that you have excellent communication skills, have strong attention to detail, as well as proven problem-solving skills. You will also be able to provide administrative support and resource management services to ensure the efficient, timely and compliant performance with company and customer requirements.
Key Responsibilities
Maintain controlled document registers.
Receive, record and distribute technical documentation which include reports, briefs, drawings, project related correspondence etc.
Provide progress reporting on controlled document and project status.
Perform document control quality checks of all incoming outgoing documentation.
Assist various stakeholders to ensure projects are completed on time.
Coordination of project financials in line with contracted arrangements.
Project finance tracking, cost control, documentation management and reporting
Supporting with resourcing activities for labour hire, contractors schedule and timesheet compliance
Manage all project documents to ensure a complete project record is maintained.
Build and develop trusted relationships with key stakeholders and decision makers to understand their business challenges, process and workflows.
Essential skills and experience
Knowledge and experience using electronic document management systems in large infrastructure projects, preferably with a rail focus, through design phases to approved for construction documentation.
Possess a sound understanding of the responsibilities of document control and project execution practices.
Strong understanding of project phases.
Ability to work within a dynamic fast paced team environment.
Strong negotiation and communication skills and the ability to liaise with stakeholders regarding contractual requirements to satisfy document submissions.
Experience implementing document control strategies and procedures for internal and external users to follow.
Broad range of computer skills and willingness to learn new skills.
Self-motivated with the ability to work independently.
Ability to work under pressure and multitask.
A strong commitment to safety and a safe working environment
