Job Summary
Project Coordinators will be responsible for coordinating professional services engagements involving the management of field resources deploying and maintaining IT products at customer locations. This individual would work closely with customers, project management teams, customer’s technical resources and help desk, resource management, business development and service resources to ensure project success. The right coordinator will be entrepreneurial, self-driven, dedicated to quality, hardworking and have outrageously strong organizational skills.

Responsibilities/Job Function:

  • Day-to-day vetting, managing, and coaching of IT Field resource, including rate negotiation, progress updates, end of day reporting.
  • Assists in the development and documentation of project plans, defining project goals, objectives, tasks, and timelines. Work closely with the Service Delivery Manager and stakeholders to establish project deliverables and ensure alignment with project objectives.
  • Serve as a central point of contact for project team members, stakeholders, and vendors. Including effective communication by scheduling and tracking field service technicians at customer sites.
  • Identify and allocate necessary resources for the project, including personnel, equipment, and budget. They collaborate with resource managers to ensure availability and proper utilization of resources throughout the project lifecycle.
  • Actively identifies and tracks project risks and issues, working with the SDM and Resource Manager to develop mitigation strategies and contingency plans. They ensure that risks and issues are promptly communicated to the appropriate stakeholders and help monitor their resolution.
  • Ensure that project deliverables meet the defined quality standards. They assist in conducting quality reviews, coordinating user acceptance testing, and facilitating feedback collection and incorporation into the project.
  • Provides administrative support to the project team, including scheduling meetings, managing project documentation repositories, and coordinating travel and logistics, if necessary.

Qualifications/Minimum Skills Required

Experience and Education:

  • 4-year bachelor’s degree in business, Information Systems, Computer Science, or related field OR equivalent experience
  • 3-5 years experience in coordinating multiple projects, schedule and budget management
  • Mentoring entry level project coordinators
  • Field Services preferred
  • Lead client facing meetings
  • Strong written and oral communication skills
  • Strong interpersonal skills
  • Strong ability to work independently or in a team-oriented, collaborative environment
  • Ability to effectively prioritize and execute tasks
  • Can conform to shifting priorities, demands and timelines through analytical and problem- solving capabilities
  • Competent and proficient with Microsoft Office products
  • Flexible work schedule based on project, some 2nd shift and overnight projects may be required

The coordinator should have excellent verbal and written communication skills to interact with project stakeholders, team members, and vendors.   • IT projects involve multiple tasks, deadlines, and resources. The coordinator should have excellent organizational and time management skills to prioritize tasks, manage competing priorities, and ensure project activities are well-coordinated and on track.
  • IT projects often encounter challenges and obstacles. The coordinator should have strong problem-solving and decision-making abilities to identify issues, analyze options, and propose effective solutions. They should be able to think critically and make informed decisions under pressure.
  • IT projects are collaborative efforts involving various team members and stakeholders. The coordinator should be skilled in fostering teamwork, building positive relationships, and resolving conflicts. They should be able to work well with diverse individuals and promote a cooperative project environment.
  • While not always required to be highly technical, having a good understanding of IT concepts, systems, and technologies is advantageous for an IT project coordinator. This knowledge allows them to better understand project requirements, communicate effectively with technical team members, and make informed decisions related to IT project management.
