POSITION SUMMARY:

As a member of the Land Development team, this position supports Project Managers and the Director of Land Development in the execution of design and construction of projects within established schedules and budgets. Project coordinators ensure quality and completeness of submittals, and interface with all referral/regulatory agencies and utility providers.

QUALIFICATIONS:

  • 3 – 5 years with background in Construction, Engineering, Land Development and City processes preferred
  • Office management background, with specific experience in shaping and implementing invoice tracking and ensuring regularly scheduled tasks are consistently completed.
  • Operational familiarity with MS Office 365 software (Required), BlueBeam (Desired) and MS Project (Desired)
  • AA degree or bachelor’s degree preferred

Responsibilities:

  • Manages project files including setup, filing, distribution and physical/electronic maintenance. Provides administrative support to the Land Development Team with primary focus on private and public land development projects
  • Works with both the Accounting department and as a liaison to Metropolitan District management staff to ensure timely and accurate creation of management fee invoicing, processing of invoice payments, check requests, etc.
  • Provides support to the Land Development team including, coordinating meetings, document distribution and other general support as necessary
  • Updates all financial projections (project costs, budget projections, budget approvals) provided by Project Managers on a monthly basis to the Director and Finance Manager for required reporting
  • Supports the Project Managers in documenting meetings as requested, including project walks, punch lists, city acceptance documents and the administration of third-party design-build contracts
  • Supports the PM and Director in the cost controls for the project including cost management worksheets, coordination with accounting and the district manager on monthly updates and draw requests (including tracking lien waivers), and final cost accounting prior to turning over to operations or municipality
  • Coordinates the submittal packages and schedule to ensure their accuracy. Submits all materials for review to both the Design Review Committee and Municipal, State and Federal Agencies
  • Facilitate partner-consultant relationships and/or specific project related tasks as directed by the Project Manager(s)/Director
  • Acts as Company liaison with metropolitan district and municipal staff, consultants, contractors, vendors, and property management.
