Description:
JOB OVERVIEW:
RWJBarnabas Health is hiring for a Project Coordinator with our Corporate Plant Operations Department. This is a Full-Time, Day Position.
QUALIFICATIONS:
Required:
- Bachelor’s degree or equivalent work experience required,
- Two years experience minimum as project coordinator and/or administrator for a construction company or similar industry,
- Excellent written and interpersonal skills and demonstrated ability to interact effectively with all levels of resources throughout the organization,
- Proven ability to work in a fast-paced environment and work effectively under pressure,
- Highly organized, team player able to multitask on several different aspects of a project or multiple projects with deadlines and change course immediately while maintaining a positive attitude and strong work ethic,
- Demonstrated experience with computerized systems, database management and spreadsheet and word-processing programs to transform data and create projects
- Knowledge of construction industry including methodology, terminology, workflow/paper flow of design and construction activities as well as demonstrated knowledge of contract documents, specifications, and requirements preferred but not required,
- Experience with PeopleSoft a plus,
- Travel to various job sites as required,

Responsibilities:
ESSENTIAL FUNCTIONS:
- Provide project coordination support to RWJBH Facilities Management Construction team
- Create capital requests and upload supporting documentation within the capital approval system under the direction of RWJBH Project Manager,
- Facilitate standard agreements and contracts between vendors and consultants under the supervision of RWJBH Project Manager,
- Assist RWJBH Project Manager with the completion of proper ICRA and Safety forms,
- Obtain quotes, create purchase order requisitions, process invoices, and follow up on payments as well as check requests and resolve discrepancies
- Create project reports by exporting data from internal capital, financial and project management systems
- Organize project related paperwork reporting, document filing, ensure all materials are current and properly filed and stored
- Upload documents to respective project management systems
- Schedule design and construction meetings and walkthroughs for RWJBH Project Manager
- Assist RWJBH Project Manager with schedules for project related walkthroughs and FF&E deliveries
- Act as liaison to RWJBH Project Manager for internal department and external communications
- Facilitate minor moves and relocations associated with capital projects
- Record minutes and take detailed notes during meetings as required
- Handle misc, administrative project related duties and ad-hoc requests from RWJBH VP of Facilities
