Description:

POSITION OVERVIEW

The Chime Project Manager is primarily responsible for managing all aspects of the Chime platform for an event, from start to finish.
The role and responsibilities of a Chime Project Manager will vary from event to event and are interchangeable, depending on their experience and skills, as well as the complexity of an event and the needs of the business.
This role requires flexibility and adaptability to deliver face-to-face events (onsite delivery), hybrid and virtual solutions.
Once a project has been sold, and confirmation has been received, a Chime Project Manager will be assigned a project and will be responsible for all client liaisons and communication relating to the Chime platform, from that point forward until the completion of the event. (This can include the final billing and conducting internal and external debriefs, for platform only events, or liaising with the Production Project Manager for the same).
The Chime Project Manager will create a Chime platform project plan and timeline, monitor progress and performance against the project plan; identifying, resolving, escalating operational problems, and minimising delays to ensure the successful and profitable execution of events. All Technical and Production Standards should be followed to support the implementation of processes and SOPs that drive consistency in event production.
This position will partner with, Production Project Managers, Sales, Operations, and delivery/technical teams in determining the appropriate technical requirements and communicating the event execution plan with all parties. The Chime Project Manager will report to the Head of Project Management - UK.
This role includes a moderate level of travel, visiting clients in their offices, meeting at venues and locations, and being onsite at some events.

JOB QUALIFICATIONS

  • BA/BS Degree or equivalent experience
  • Competent in Cvent event and survey management software preferred.
  • 1+ years Project Management experience preferred
  • 1+ year of Supervisory experience preferred
  • Client relationship skills desirable
  • Written and oral communication skills preferred
  • Familiarity with budgets and cost control
  • Operational logistics experience preferred
  • Works well under pressure
  • Work in a team / can take the lead
  • Detail-oriented and problem solving
  • Ability to manage multiple complex job functions within a fast-paced environment
  • MS Office experience required
  • PowerPoint and Excel knowledge / experience preferred
  • Ability to travel may be required

Responsibilities:

  • Managing multiple projects simultaneously and ensuring that each project is completed successfully to a high standard.
  • Seeing projects through from the initial brief to the final delivery and post-event follow-up.
  • Account/client management: building and maintaining key relationships and being the client’s primary point of contact throughout all phases of a project.
  • Providing guidance and educating clients on the Chime platform’s functionalities, attending in-person and online meetings where required to demonstrate the platform and the production process.
  • Produce documentation/guidelines detailing project specifications and show flows.
  • Work with the in-house team to design, build and manage the clients’ platform, ensuring all specified requirements are met.
  • Managing all client liaison and communications and adhering to budgets and timescales.
  • Determine and secure the resources required to successfully deliver each project.
  • Maintain focus on client needs by attending client meetings, creating, and maintaining organized show documentation and responding to client concerns and questions.
  • Monitor project scope throughout the event planning process and adjust as necessary to ensure the successful completion of the project.
  • Assist sales and operations teams to help determine equipment needs and technical solutions for the project.
  • Develop and maintain strong relationships with clients at all levels of their organization and provide outstanding customer service while focusing on client retention.
  • Actively seek ‘upsell’ opportunities and charge appropriately for additional work outside of the agreed scope, to assist with the generation of revenue.
  • Assist with the completion of post-event billing for accurate issuing of all invoices.
  • Ensure compliance with all policies and procedures in force at the current time, including data security and GDPR, along with any confidentiality and non-disclosure agreements, as well as any health and safety (ie Covid-safe working) policies.
  • Responsibilities of Cvent products, including core invite and registration platform, mobile app, onsite solutions, reporting portals and surveys.
