Role:
The thing this role will have more than anything is variety. We run exhibition projects big and small around the world including the USA, and each one has a heap of moving parts - designers, suppliers, venues, budgets, clients, deadlines and more… it will not be boring.
We’ll need your brilliant project management skills to help us maximise profitability and deliver flawlessly for our clients across a range of projects.
Reporting to the Project Director, you’ll have responsibility for entire projects, continually managing client expectations in line with budgets and timeframes, working with Project Coordinators, Event Managers, Client Services and Creative teams keeping a steady hand on the wheel to ensure everything is booked, built, and delivered on time.

Responsibilities:

  • Take ownership and responsibility of all assigned projects from start to finish, ensuring they are delivered on time and within budget, keeping the client services team updated on any updates to the project or potential points for escalation.
  • Manage effective client relationships and client expectations, including kick off calls, ongoing project calls, project timelines, budget management, reports and updates to inform client decision making.
  • Develop 3D design brief, clear specifications and scope of works for all projects and set robust timelines for delivery.
  • Manage supplier relationships, ensuring a drive for quality and efficiency. Work closely with the supply to secure best value for money options. Ensure supplier timelines are on track and specifications are being met.
  • Manage and review all H&S/RAMS Documentation
  • Prepare onsite brief for internal and external teams
  • Develop, update and reconcile project budgets, ensuring all changes and extras are accounted for.
  • Manage commercial aspects of projects – issuing contracts, issuing sales invoices and purchase orders in line with payment terms to ensure cash flow is managed effectively.
  • Work closely with internal teams (Project Management, Client Services, Creative, Event Management) and hold review meetings ensuring project is on brief and on budget. Review the project after completion and identify any lessons learned.
  • Support new business opportunities – providing estimates, gathering costs, inputting to pitches etc.
  • Set up and maintain key documentation including project plan, adhering to ISO processes including version control and brand compliance.
