Description:

The Opportunity:
Avantor is seeking a Project Manager specializing in HR Operations and Payroll Transformation. In this role, you will focus on leading and coordinating projects aimed at modernizing and optimizing HR operations and payroll processes across the Eastern Hemisphere. Initially, you will be focused on project managing the design, build, and launch of the overall operating model, regional service delivery offering, and HR Service Centre. With the implementation of continuous transformation practices, you will project manage cross-functional teams in driving organizational change, improving operational efficiency, and leveraging technology to continuously enhance HR and payroll processes and services.

What we’re looking for
Education: Bachelor’s Degree in Business Administration or Managemen or equivalent business experience

Experience:

  • Mid-level (5+ years) of project management experience.
  • Six Sigma or PMP qualification strongly preferred.
  • Workday HCM technical experience is required, specifically in a technical build and integrations environment.
  • Exposure to HRIS, Payroll and Time Tracking systems and large systems software (e.g. Workday, ADP, Sage, etc).
  • Project Management Software experience required (Planview, Microsoft Project, Asana, Smartsheet, Monday.com, Jira).
  • Strong process mapping experience of HR Ops and Payroll processes.
  • Strong analytical skills with ability to “connect the dots” to solve complex problems across systems.
  • Use of data to identify problems and drive to identified solutions.
  • Strong presentation and communication skills.
  • Ability to manage multiple priorities/projects simultaneously.

Knowledge: Extensive knowledge of HR Operations on a global scale

  • Communication: Excellent verbal and written communication skills to convey information to diverse audiences, including senior management, business partners, and employees.
  • Problem-Solving and Decision-Making: Ability to analyze complex issues, identify root causes, and implement effective solutions to ensure accuracy and compliance.
  • Project Management: Proficiency in project management methodologies to lead payroll system implementations, process improvements, and other payroll-related projects.
  • Analytical Skills: Strong analytical skills to interpret payroll data, generate insights, and make data-driven decisions to optimize payroll operations.
  • Innovative: able to create many options to solve issues and choose which obtains desired results.

Abilities:

  • Collaboration: Proven ability to collaborate cross-functionally with HR, finance, IT, and other departments to achieve payroll-related objectives and initiatives.
  • Ethical Conduct: Demonstrated integrity and ethical conduct in handling confidential payroll information and adhering to legal and compliance standards.
  • Cultural Awareness: Sensitivity to cultural differences and diversity when managing payroll operations across multiple countries and regions.

Project Planning and Execution

  • Develop comprehensive project plans outlining objectives, timelines, milestones, and resource requirements for HR ops and payroll transformation initiatives.
  • Coordinate project activities, allocate tasks, and ensure that project goals are achieved within established timelines and budgets.

Performance Monitoring and Reporting

  • Establish key performance indicators (KPIs) to measure success of transformation projects.
  • Monitor project progress, track metrics, and prepare regular status reports and presentations for senior management and other business partners.

Business Partner Management

  • Engage with business partners across various departments, including HR, finance, IT, and business units, to gather requirements, communicate project updates, and address concerns.
  • Build and maintain strong relationships with business partners to ensure alignment and support for transformation efforts.

Process Analysis and Redesign

  • Collaborate with subject matter experts to analyze existing HR ops and payroll processes, identify pain points, and propose redesigns or improvements.
  • Work closely with process owners to streamline workflows, eliminate inefficiencies, and enhance overall effectiveness.

Technology Integration

  • Project manage the implementation and integration of HRIS (Human Resources Information Systems) and payroll software solutions.
  • Coordinating internal teams and external vendors to ensure successful deployment, configuration, and testing of new systems while minimizing disruption to operations.

Change Management

  • Develop and implement change management strategies to facilitate the adoption of new processes and systems by employees.
  • Communicate the rationale for change, provide training and support, and address resistance to ensure smooth transitions and minimize productivity losses.

Resource Management: Allocate resources effectively, monitor deliverables/ timelines to ensure projects are on time.

Quality Assurance and Continuous Improvement:

  • Conduct regular reviews and evaluations of project outcomes to identify lessons learned and areas for improvement.
  • Implement best practices, refine processes, and drive continuous improvement initiatives to enhance the effectiveness of HR ops and payroll functions.

Documentation and Knowledge Management

  • Maintain accurate documentation of project plans, requirements, decisions, and outcomes.
  • Establish knowledge sharing mechanisms to capture and disseminate lessons learned, best practices, and insights gained from transformation projects.
