Role Summary
Reporting to the Operations Manager, Commercial Leasing, the Property Management Assistant will help to maintain the day to day duties of the commercial portfolio. The Assistant will be required to create relationships with the current, and future, tenants in order to provide them with the appropriate support. The Assistant will also assist (where needed) in leasing out vacant commercial units, and any other duties required to operate the property. This position is the primary public relations representative for the Commercial Portfolio and as such is expected to be professional in demeanour and appearance at all times.
Typical work week is Monday - Friday 8 am - 4:30 pm

Key Accountabilities

  • Maintain and update all tenant contact information to ensure proper information is being disseminated to appropriate parties.
  • Follow up on outstanding Accounts Receivable in a timely manner.
  • Produce and distribute notifications through our online commercial portal, Commercial Cafe.
  • Generate reports from Yardi, for the Operations Manager, Commercial Leasing to review, and approval.
  • Assist in the timely collection of Tenants sales (as required per the Lease) and Tenants Insurance Certificates.
  • For Tsawwassen Town Centre, the Assistant will be required to organise and coordinate marketing, promotions, special events, contests, seasonal decoration and advertising in a timely manner to effectively contribute to the promotion and profitability of TTC and its tenants. Manages the mall’s social media sites, newspaper ads, updating mall directories and posters and assists with updating the TTC website.
  • Sets up an annual calendar and budget outlining promotion ideas and themes for each month and event.
  • Change seasonal common area and vacant store mall displays on a regular basis. When possible, coordinate merchant displays in vacant stores and glass display cases.
  • Produce a Quarterly newsletter advising of upcoming events, marketing ideas, meetings, display space availability, welcome of new tenants etc.
  • Advise head office of any updates required for the tenant or emergency phone lists, any areas of concern in terms of liability issues by completing walkthroughs of the entire property and noting any issues.
  • Be familiar with the Rules and Regulations of the TTC, and assist with enforcing those rules, and regularly monitor all areas of the shopping centre, in conjunction with Facilities staff.
  • Maintain and process for reimbursement TTC gift certificates.
  • Other duties as assigned by the Operations Manager Commercial Leasing

Education & Experience

  • Requires Grade 12 education.
  • Certificate in Marketing would be an asset
  • Minimum 3 years experience in a similar role preferred
  • Living and having knowledge of the Tsawwassen or Ladner areas would be an asset
  • Experience with Yardi Voyager would be an asset.

Required Knowledge, Skills & Abilities

  • Must have excellent communication skills, both verbal and written
  • Strong computer skills, including intermediate knowledge of Google Workspace
  • Excellent public relations, professional and courteous manner, and must be a self starter
