The Property Manager Assistant (PMA) will be responsible for the overall flow of work for the regional office and to provide exceptional customer service to our tenants while being mindful of M’akola’s vision and values. The successful candidate will receive training and mentorship for this position. Due to the vulnerable nature of the people we support, the success candidate must have their two preliminary COVID-19 vaccines.This position is full-time, permanent, Monday – Friday, 35 hours/week, based temporarily at our Victoria Regional Office in Langford until the Sooke/Drennan Regional Office opens in December 2023 – January 2024. The PMA will work in the Sooke/Drennan Regional Office once it is fully operational.ResponsibilitiesProvide administrative support and assistance to the Property Manager for all aspects of tenancy management and office operationsManage reception duties and provide excellent service to tenants, applicants, stakeholders and othersUpdate various spreadsheets of data and for tracking purposesPrepare various documents including, letters, memos, correspondence and noticesAssist with emergency response coordinationMaintain an accurate filing system according to office policyConduct general duties to ensure office is clean and tidyOrder office supplies as needed upon approvalCoordinate regional meetings in accordance to M’akola standardsOther related duties as required from time to timeQualificationsCertificate/diploma in related fieldAt least 3 years of administrative experienceCombination of related education and experience will be consideredRequired Skills and KnowledgeComputer literacy, particularly with MS Office (Word, Excel, and Outlook)Experience working in and with the Indigenous community preferredStrong interpersonal skills (i.e. tact, respectful interactions and diplomacy)Strong planning, time management, and organizational skillsEnjoys interacting with the public and solving problemsExhibits cultural sensitivity and awarenessClear and concise communication verbally and in writingConfidently handle difficult situations in a positive mannerMaintain confidentiality on all mattersOtherFirst Aid – Level 1, certification covered by MHSWHMIS training, covered by MHSProvide clear Criminal Record Check prior to hiring, costs covered by MHS;Follow M’akola Housing Society policies and proceduresBe vaccinated against Covid-19 before start dateWe hire employees of all cultures including Indigenous and non-Indigenous.
