Customer Service & Sales Support
Mission
The Customer Service & Sales Support is responsible for processing customer sales orders, and managing the process through to delivery, ensuring customer satisfaction and loyalty through operational expertise. This role interacts with both Commercial and Operational Teams, ensuring the image of the company is promoted effectively and professionally.
Reporting Line
The Customer Service & Sales Support reports directly to Customer Service & Logistics Manager.
This role will be based in Melbourne, Australia.
Main Accountabilities

Customer Service

  • Provide a high level of customer service at all stages from initial contact with the customer to order delivery.
  • Receive orders from customers and accurately enter onto ERP system in order to ensure customers’ requirements are recorded and that these can be met.
  • Address queries from customers, ensuring they are handled in a professional manner.
  • Regularly liaise with all departments and customers in order to monitor orders and manage critical issues around logistics and administration e.g. changes on dispatch and delivery.
  • Provide and arrange pricing and quotations for customers on authority from Sales team members.
  • Ensure that technical and safety information is readily available to all team members.
  • Liaison with finance/administration staff in an effective and co-operative manner
  • Liaise with warehouse staff and carriers to ensure all customer requirements are met.
  • Compile information and prepare reports for Customers and Account Managers
  • Assist in the training and induction of new staff as required.

Inventory Control

  • Manage stock levels based on guidelines agreed with the Sales Manager / Product Managers and orders from Principals through internal liaison.
  • Timely and accurate processing of Pick Slips/Delivery Instructions to Warehouses & Carriers.
  • Release Pick Slips to generate Invoices and Credits on a daily basis once dispatch details have been confirmed.
  • Daily reconciliation of warehouse dispatch advice employing zero tolerance Batch-Match stock integrity policy.
  • Processing Stock Transfers promptly and accurately recosting stock at receipt.

General

  • Assisting other Customer Service & Sales Support staff when required to ensure tasks are completed efficiently and
  • consistently.
  • Other duties as directed by immediate Manager or other senior Chemiplas management.

Purchasing

  • Accurate and timely data input and generation of Indent Purchase & Sales contracts as determined by prime orders.
  • Forwarding of prime orders to overseas and local principals.
  • Forwarding relevant information to internal departments for forward exchange and letter of credit requirements as required.
  • Checking Costings, ensuring all relevant on-costs have been included
  • Shipment tracking and processing

Qualification & Skills

  • Operational experience in Supply Chain
  • Ability to influence and achieve results through others
  • Ability to liaise with people at all levels both internally and externally
  • Advanced user of various IT tools & ERP systems
  • Passionate about achieving goals/targets
  • High service level standards
  • Strong ability and willingness to methodically work with customers, suppliers and staff in solving logistics matters
  • Excellent organisational skills, ability to prioritise tasks, issues and informational requirements to ensure the company consistently exceeds
  • Team player but with the ability to work independently
  • Ability to adapt to new & changing requirements and a flexible approach to working under pressure
  • Strong communication skills
