Description:

MAIN RESPONSIBILITIES: To work unsupervised and manage own workload on a day to day basis on completion of training. The provision of medical secretarial support to the Consultant Radiologists and Department of Radiology. Word processing from audio dictation, direct dictation of reports, documents, general correspondence and minute taking/typing from departmental meetings, input monthly timesheets, cut and paste results from out-sourced providers. To ensure the correct and timely distribution of results and correspondence and action instructions.
Respond appropriately and efficiently to enquiries by letter, telephone, email, from patients, general practitioners, wards, other hospitals etc. Actively contribute to polices/procedures for own work areas, propose change and implementation. To assist enquiries regarding arranging and re-arranging patient appointments by ensuring messages are passed to the appropriate teams. To adapt and quickly respond to changes in departmental needs.
Appropriate use of relevant information technology systems e.g. CRIS, SECTRA, LORENZO, EIS etc. Help maintain the paper filing systems complimenting the computerised systems. Communicate with GPs, wards etc.
in providing patient results in the form of Radiology reports and all other complex matters. Close liaison, co-operation and flexible working practices along with other medical support secretaries within the team to ensure the provision of efficient and prompt secretarial support to the Division generally. To devise, maintain and adhere to speciality specific protocols. Liaison and co-operation with other secretarial staff/departments as necessary.
Assist in the training of new staff. Take part in a roster system providing secretarial cover in all sections of the Radiology Department. To deputise in the absence of the secretarial supervisor. To assist in stock control and inform supervisor of any requirements.
To participate in an annual personal development review programme. To ensure that all Departmental safety policies and procedures and fire regulations are observed. To report any hazards or potential hazards. To observe that safe working practices are carried out at all times in the post holders area of work.
Assist during Audit/Research in collection of information. To keep up to date with Trust information and Departmental policies. KNOWLEDGE AND SKILLS To communicate effectively and sympathetically with patients/families, crossing barriers to clearer understanding. To be able to deal with difficult situations when liaising with patients/families To have in depth knowledge of medical terminology.
To communicate with a range of staff at all levels. Have sound working knowledge of all confidentiality issues. EFFORT AND ENVIRONMENT Maintain mandatory Trust manual handling training in order to safely move objects Occasional requirement for light physical effort Required to sit for long periods of time in a restricted position To concentrate for long periods of time whilst transcribing digital recordings and compiling letters/reports/statements with frequent interruptions causing a change of task To use a VDU and audio transcribing equipment for long periods of time on a daily basis Type reports/letters of a distressing nature e.g patients with terminal illness
