Description:

QUALIFICATIONS:

  • Recent graduate from a post-secondary program in office administration or business administration from a recognized college or equivalent combination of education and experience will be considered an asset.
  • Experience working in a Police environment, criminal law office, or with the criminal justice system is required.
  • Knowledge of the RCMP and Judicial Court and Legal Systems is highly desirable.
  • Experience assisting in court related duties, including compilation of legal documents is preferred.
  • Must have knowledge of provincial and federal statutes, criminal code and municipal bylaws.
  • “Information Management Certificate is required”.
  • Must have working knowledge of CPIC.
  • Ability to work independently and effectively with a team, well organized and committed to effective time management.
  • Be able to communicate by phone, radio or in person in a clear and concise manner, sometimes under stressful circumstances.
  • Must be able to complete the following courses within a scheduled timeframe: Working Knowledge of Police Reporting and Occurrence System (PROS) and Policy Information Retrieval System (PIRS), E911 Emergency Telecommunications Course (ETC) and the Canadian Police Information Center (CPIC).
  • All applicants are subject to a skills examination with a detailed security check and clearance prior to the position start date.

PRE-EMPLOYMENT REQUIREMENTS:

  • RCMP Enhanced Reliability Security Clearance.
  • Successful applicant must provide proof of qualifications.
  • Applicants with international education will be required to include an Academic Credential Assessment with application.

Responsibilities:

Reporting to the Supervisor - Courts, the primary function of this Position will be responsible for processing all Police files through the court system until a disposition is reached and correctly reporting on that disposition.

  • Control the file room in accordance with detailed operating instructions and judgment.
  • Responsible for all records and files as well as the storage and destruction of inactive and dormant records.
  • Maintain other operational and administrative files.
  • Maintain manual and automated operation and administrative records management systems. Enter, modify, query, and deleted data in systems such as Police Records Occurrence System (Pros) and Add modify and remove entries from files on the Canadian Police Information Centre (CPIC).
  • Maintain Purge and Validation reports.
  • Update returned Court files and seal Youth charges if applicable.
  • Add returned Court files to the Criminal Prints through the Criminal Justice Information System (CJIM).
  • Responsible for following Court files waved to a different jurisdiction.
  • Correspond with both Alberta and Saskatchewan Courts, Crown and probations.
  • Submit tickets for processing.
  • Maintain equipment and request supplies or help tickets.
  • Process Criminal Record check for the City of Lloydminster applicants.
  • Accept and process criminal record checks for the City of Lloydminster, ensure policy is maintained for the completion or criminal record checks and vulnerable sector checks.
  • Advise applicants if fingerprints are required for vulnerable sector checks.
  • Run required criminal record checks on applicants through PROS, PIP, and CPIC.
  • Make further inquiries in other detachment areas for criminal occurrences outside the Lloydminster jurisdiction (as required).
  • Maintain accuracy for all criminal record check related correspondence and data entry.
  • Complete final criminal record check documentation for pickup.
  • Complete pending transactions, correct transaction errors, and advise Member who took fingerprints that an error exists prior to prints being sent out for processing.
  • Other related duties as required.
