Description:
The Department of Nutrition and Dietetics is looking for an enthusiastic, hardworking and organised Reception/Clerical Assistant to join our well-established Admin and Clerical Team at Royal Stoke Hospital.
You will be part of a team of 7 admin staff, and you will be supporting over 60 clinical dietitians/dietetic assistants who work across UHNM covering both inpatient and outpatients services across North Staffordshire.
The department would encourage informal visits to the department to meet the team prior to applying in order to get a feel for the role advertised.
We also have a base at County Hospital and we link with our admin team at County Hospital regularly. There may be a need to spend some time at County, however there is a staff shuttle bus that runs hourly between both sites.

You will support the team with full reception duties receiving and making calls to patients, carers, GP’s and other health professionals, processing of new referrals into the department, managing the department email account (NHS.net), processing of clinical outcomes and supporting the Clinical Co-ordinator with managing the partial booking waiting lists. You will also be responsible for processing of incoming and out-going mail, and ensuring clinical correspondence is processed within the required deadline. You will be required to ensure that all aspects of the admin role is completed in a timely and accurate manner. You will also be required to support the department as a Fire Warden and training will be offered once commenced in post.

The post holder will be expected to exchange information with patients and carers requiring tact and diplomacy via our Dietetic Reception Service. There is also a requirement to communicate complicated information to other departments and external contacts.
The post holder will be required to use electronic patient records/management systems.
There will be a requirement to complete daily clinic preparation using Careflow.
The post holder will have a working knowledge of Microsoft office including Excel to fully support the Dietitians.
The post holder will be required to undertake Electronic Patient Record Scanning.
The post holder will have daily telephone patient contact.
The post holder will be required to prioritise and organise their own workload.
The post holder will be required to have good keyboard skills.
Undertake a monthly stationery order using E-Procurement systems
Undertake monthly Fire Warden checks and submit monthly report to the UHNM Fire Department
There will be a requirement to support our dietetic patients in re-scheduling their appointments
To ensure service continuity the post holder will be required to cross cover during times of absence within the tea
