Description:
To ensure the delivery of an effective and efficient reception/admin support function to NHS Coventry and Warwickshire Integrated Care Board
We are looking for an enthusiastic, friendly, helpful and welcoming person, preferably with administrative experience. You’ll contribute to the smooth running of the reception at Parkside House. Good IT skills are essential, as is a calm and pleasant manner to welcome visitors and answer telephone calls.
We have a team ethos and provide an open, friendly and supportive environment to work in. You will provide support to over 400 staff members within this role and we want you to feel welcome and a part of the organisation and also of our team
To provide a welcoming and professional reception to the ICB and to ensure both telephone and personal/physical enquiries are dealt with in a prompt, polite, calm, confidential and efficient manner.
Ensure all visitors are logged in and out of the building.
To operate the ICB switchboard and ensure that all calls are handled in a polite and efficient way.
Undertake clerical and administrative duties relevant to the post to support teams within Coventry and Warwickshire ICB.
Managing workload under supervision, seeking advice from supervisor when required.
Log vehicles into the car park for visitors.
Processing ID badges to new member of staff and visitors
Receiving and sorting incoming mail/deliveries for each directorate
Supporting ICB teams with photocopying/laminating services when required.
To oversee the booking system for meeting rooms for the ICB.
To ensure that the meeting rooms are prepared correctly and appropriately, and are kept tidy at all times.
Set up presentations using audio visual equipment within the meeting rooms when required.
To ensure that stocks of tea/coffee refreshments for the meeting rooms are kept stocked and re-order when required.
Report and record estates jobs for the office when required in line with the estates procedure.
Undertake any other tasks as allocated, in accordance with the grade of this post
