Description:

To provide comprehensive and confidential administrative support for a specific part of the administrative service/project within the Department in accordance with Departmental, Trust and National standards, policies and procedures. To act as a source of advice and guidance regarding the specialty. Ensure that all customers receive a seamless high-quality service.

To act as the first point of contact for all enquires relating to accessing Trust Accounts / IT Equipment / Training / Contractors / Visitors and any other IT related queries liaising with others as appropriate and taking the necessary action to escalate. This will require ensuring all enquiries are effectively managed within a prompt timescale ensuring all relevant personnel are informed as necessary and an appropriate record is maintained. Liaising and effectively communicating at all levels using written, oral, and electronic methods. Using tact and sensitivity to deal with difficult issues as required.

To ensure, wherever possible, all documentation / processes / IT related forms are up to date, in an orderly fashion and available whenever decisions are being made, reporting exceptional circumstances where
Handle all telephone calls to the ICT Reception and Training efficiently, courteously and in a professional manner providing each caller with a call reference number and any other relevant
Ensure all service requests (via telephone, voicemail, email, form, eform) are triaged and dealt with efficiently, and in a timely manner. All service requests must be logged on Service Now and should have the appropriate category, priority and assignment, and annotated with a comprehensive description of the problem/request in accordance with the documented Service Desk procedures.
Ensuring all requests for work permits/Vinci contractors are authorised by the relevant member of ICT staff.
Communicate with staff, patients and/or external organisations using appropriat
Maintain both manual and electronic filing systems and databases, as required by the department and Trust policies, ensuring all documents are accurately and appropriately archived
