Description:

We are currently seeking a friendly and approachable receptionist who will act as the face of the business and ensure the smooth running of the front of house at our corporate head office, London Chapel Place. In addition, the role supports the office manager with providing an efficient reception service, while providing administrative support, including call handling and preparation of communications and documents, meeting room & diary management, health and safety within the office environment and other administrative tasks as required.

WHAT WILL IT TAKE TO BE SUCCESSFUL?

Highly professional, you will be highly organised and have great communication skills. With experience of working in a fast paced office environment, ideally you will have worked in the property industry and have experience of receptionist work. You will be delivering high levels of customer service both to visitors and the internal teams, ensuring the smooth running of the office.
Experience in a similar role is extremely advantageous, a professional telephone manner, exceptional customer services and good communication skills, a natural ability to collaborate with internal and external people, demonstrating a willingness to consult others for ideas, advice and direction when needed. Attention to detail is paramount, along with the ability to prioritise and multi-task. Proficiency in Microsoft Word, Excel and PowerPoint & Outlook is a must, we are looking for a team player with good interpersonal skills and the ability to effectively manage workloads.

Responsibilities:

  • Operate the reception switchboard in a warm, confident and cheerful manner, and to redirect calls to most appropriate person efficiently
  • Greet all incoming guests ensuring all visitors to Carter Jonas have a pleasant experience
  • To ensure the reception area is kept in a pristine condition at all times
  • Maintain MS Outlook calendar for booking/organising seven conference rooms and making sure all are in good shape pre/post meetings
  • Liaising with the office manager on a daily basis and assisting with meeting room catering requirements
  • Provide office support in handling all mailing and courier packages, incoming and outgoing and making sure all delivery notes have been signed off & logged
  • Arranging DHL and other special posts/parcels
  • Support the Office Manager with event planning and deployment
  • Daily meeting room equipment checks
  • Assist with supplies control such as stationary and refreshments
  • Continually monitor reception inbox to ensure emails are responded to in a timely manner
  • Any other duties of an associated/similar nature
