Job Description:
- Administrative Support:
- Maintain workshop records, including vehicle maintenance logs and inventory.
- Coordinate vehicle repairs and servicing appointments.
- Manage workshop documentation, such as work orders and invoices.
- Communicate with drivers, mechanics, and other workshop staff.
- Manage office supplies inventory and employee records.
- Arrange yearly renewal of ISO & OHSAS certifications.
- Reception and Front Desk Duties:
- Greet visitors and direct them appropriately.
- Answer and direct incoming phone calls.
- Manage incoming and outgoing mail.
- Facility Management:
- Coordinate maintenance and repairs with building management.
- Monitor office equipment and arrange servicing.
- Purchasing:
- Source and procure automotive spare parts, tools, and supplies.
- Obtain price quotations and negotiate terms with suppliers.
- Place purchase orders and monitor inventory levels.
- Maintain supplier relationships and evaluate performance.
- Financial Management:
- Monitor workshop expenses and maintain purchase records.
- Assist in budget planning and cost control measures.
- Coordinate with finance for invoice processing and payment reconciliation.
Qualifications:
- Proven experience in administrative roles, preferably in a workshop or automotive environment.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office applications and inventory management software.
- Knowledge of automotive parts and supplies procurement processes is preferred.
- Ability to work independently and collaborate effectively within a team environment.
- High level of integrity and professionalism.
