SUMMARY:

The Receptionist serves as the initial point of contact for all callers and visitors to the organization. This role involves providing reception support, maintaining the reception area, and ensuring professional interactions with all visitors, clients, and employees. Additionally, the Receptionist will perform various administrative duties, including document preparation and correspondence.

QUALIFICATIONS:

  • At least one (1) year of experience with multiple-line phone systems.
  • High School Diploma.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to manage priorities and workflow.
  • Proficiency in MS Office.
  • Professional appearance and demeanor.
  • Ability to understand and follow written and verbal instructions.
  • Ability to interact effectively with individuals at all organizational levels.
  • Commitment to excellence and high standards.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities.
  • Bilingual skills are a plus but not required.

Responsibilities:

  • Phone and Visitor Management:
  • Answer, screen, and direct all calls on a multi-line phone system in a courteous and professional manner.
  • Take messages and forward phone calls to the appropriate manager or employee.
  • Greet and assist all visitors, clients, and employees in a courteous and professional manner.
  • General Office Duties:
  • Handle daily email correspondence.
  • Perform filing, copying, and faxing as needed.
  • Refill supplies in the front display area and maintain office supply stock. Place orders as required.
  • Ensure the front reception area and conference room are organized and neat throughout the day and during company events.
  • Check and restock the printer throughout the day.
  • Ensure coffee machine supplies are available every Monday.
  • Collect driver paperwork for rental jobs.
  • Update office directories as needed.
  • Announce daily company job pick-up and drop-off.
  • Receive and sort all incoming mail.
  • Send daily thank-you emails to customers.
  • File canceled jobs, returning jobs, and archive files for the prior year.
  • Assemble swatch books as needed and maintain daily inventory stock in Excel.
  • Manage all job waterfalls.
  • Maintain job folders filled and collated for the Rentals Department.
  • Other Responsibilities:
  • Prepare and forward outgoing mail and packages, including samples to clients for the Rental and Sales departments.
  • Perform other related duties as assigned by management.
