Description:
TEMPORARY RECEPTIONIST/ADMINISTRATOR
We are seeking a friendly, outgoing professional for a Receptionist/Administrator position at our Fort McMurray location. The ideal candidate will be a self-starter, highly organized and detail oriented with exceptional phone etiquette and above average computer skills. This is a temporary position with full time hours working Monday to Friday from 7:30am - 4:30pm. This role is excpected to be approximately 4 months or longer
REQUIREMENTS
- At least 2 years of experience in a similar role
- Exceptional organization skills with the ability to meet deadlines in a fast-paced, quickly changing environment
- Professional level written and verbal communication skills with in-depth knowledge of MS Outlook, Word and Excel
- A proactive approach to problem-solving and ability to present ideas/recommendations clearly and concisely
- Ability to maintain strict confidentiality with assigned tasks and exercise discretion in interoffice communications
- Ability to be an effective team player, contributing to a positive work environment
Responsibilities:
- Direct inbound calls in a pleasant and professional manner using multi-line telephone system
- Greet guests, maintain visitor log book, and coordinate staff and visitor parking
- Collate and process incoming/outgoing mail, courier deliveries and faxes
- Coordinate Training booking and confirmations
- Process station account payables
- Organize boardroom bookings, catering if required and conference code updates
- Assist executive team members with calendar management, expense reports, travel bookings and other administrative tasks
- Assist with employee onboarding, including business card orders, office setup, access card/key ordering, and verification of tickets for new hires etc.
- Manage the annual Service Awards order and distribution
- Order and maintain office supplies/equipment and office area
- Other administrative support duties and special projects as needed
