Description:

JOB DESCRIPTION

The Receptionist serves as the first point of contact for visitors, clients, and employees of Gelberg Signs. This position plays a critical role in providing exceptional customer service, managing incoming calls, and maintaining a professional and welcoming atmosphere in the reception area. The Receptionist handles various administrative tasks, including greeting guests, scheduling appointments, and assisting with general inquiries.

A successful candidate should be able to:

  • Greet visitors, clients, and employees with a warm and friendly demeanor, ensuring a positive first impression of the company.
  • Answer incoming calls, transfer calls to appropriate personnel, and take accurate messages as needed.
  • Monitor and manage the reception area, including maintaining cleanliness, organizing reading materials, and ensuring a tidy appearance.
  • Notify hosts of guest arrivals.
  • Take payment from clients sign pickup
  • Provide information about the company, its products or services, and directions to various departments or facilities.
  • Escort visitors to meeting rooms or designated areas and ensure their comfort and convenience during their visit.
  • Assist with various administrative tasks, including data entry, filing, scanning documents, and preparing correspondence.
  • Handle incoming and outgoing mail, packages, and deliveries, and distribute them to the appropriate recipients.
  • Log all checks received by mail.
  • Maintain confidentiality of sensitive information and handle inquiries with discretion and professionalism.
  • Collaborate with other departments, such as facilities management or human resources, to coordinate office services and support.
  • Previous experience as a receptionist, front desk clerk, or customer service representative preferred. Strong interpersonal skills with the ability to interact professionally with diverse individuals, including clients, visitors, and staff is a must in addition to proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software applications.
  • To excel, you should have the ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment.
