PHP partners with leading insurance and annuity carriers to offer a comprehensive basket of insurance products to a diverse client base. PHP provides a part-time or fulltime opportunities to individuals pursuing careers as life insurance agent. JOB SUMMARY

The receptionist will be the face of the company over the phone and in person. This person will have strong phone etiquette and problem-solving skills to handle the call or route to the proper department or person. This person will always display a positive attitude and use excellent communication skills. This position requires high attention to detail and the ability to handle multiple tasks at the same time. Professional front office appearance is a must for this position.

Primary Responsibilities:

  • Answer phones in a friendly, helpful, and professional manner.
  • Greet guests and engage with all contact points within the organization. Research information to handle or route calls, troubleshoot and resolve (as necessary) inquiries from agents and/or staff.
  • Distributing and tracking incoming mail and packages.
  • Preparing outgoing mail and packages.
  • Tracking vendor contracts.
  • Identifying and coordinating office maintenance requests and tracking results.
  • Ordering supplies.
  • Scheduling conference rooms and monitoring upkeep.
  • Preparing correspondence.
  • Distributing and tracking guest badges.
  • Responding to incoming e-mails.
  • Build and maintain strong working relationships with the Home Office Team, Executives, Independent Insurance Agents, and their Support Staff.
  • Work well with a variety of personality types.
  • Assist and train other team members to handle front desk responsibilities for backup purposes.
  • Process key transactions for agents, such as refunds, terminations, activations, and deactivations.
  • Suggest and recommend process improvements and/or cost-saving ideas. Create, plan, lead, and organize home office monthly events to improve morale and camaraderie.
  • Be a good role model for others by displaying the positive attributes of a team player.

Primary Skills & Requirements:

  • Experience: 1+ year(s) as a receptionist or general office assistant with a proven track record of dependability, including good attendance and punctuality.
  • Organizational Skills: Organized, self-starter, comfortable working in a fast-paced environment.
  • Efficiency: Prompt, efficient, and quick learner with a high attention to detail. Communication Skills: Excellent written & oral communication skills with full literacy in spoken and written English and Spanish.
  • Computer Skills: Basic PC skills with proficiency in Outlook, Excel, Word.
  • Typing Speed: Ability to type 65-70 WPM.
