Overview:
The White Plains office of Kaufman Dolowich, an AV-rated® firm designated one of the “Best Companies to Work For” among U.S. law firms by U.S. News & World Report, is seeking candidates as a Receptionist/Legal Assistant to join our team. The candidate would be joining a growing, dynamic firm with more than 200 attorneys nationwide.

This individual serves an integral role as the “face/voice” of the firm for potential and existing clients and carriers. They will be responsible to serve callers and visitors by responding promptly through greeting, welcoming, and directing them appropriately. This individual will also be responsible for covering the incoming calls at the front desk, visitors, deliveries and will also be capable of handling any work over-flow.

  • Welcomes visitors/clients by greeting them, in person or on the telephone; answering or referring inquiries promptly.
  • Directs visitors by maintaining employee and department directories; giving instructions and referring inquiries to appropriate personnel.
  • Maintains confidential information in a professional and trustworthy manner.
  • Sorts and distributes all in-coming mail (i.e., USPS, FedEx, UPS) and ensuring mail documents are loaded in firm system and distributed to attorneys.
  • Assists office operations by weighing outgoing mail and providing postage stamps for various staff members when needed.
  • At request of attorneys and supervisor, provide follow up and interact with clients, outside counsel and others.
  • Assist in the coordination of special projects (i.e.: trial preparation, mediation binders and/or large scan and copy jobs).
  • Contributes to team effort by accomplishing related results as needed.
  • Interact effectively with partners, associates, staff, and clients.
  • Prepares, edits and proofreads a variety of documents, e.g. correspondence, agreements and pleadings. Manages and assists with complex document production.
  • Assists administrative staff/paralegals with overflow work, as requested by Office Manager.
  • Other duties, as needed, to support the firm and office operations.

Qualifications:

  • Strong verbal and written communication skills.
  • Previous Law Firm experience a plus.
  • Professionalism.
  • Computer proficiency (MS Office - Word, Excel and Outlook). Must have intermediate to advanced technical skills in Microsoft Office.
  • Excellent organizational skills.
  • Ability to work in a busy office, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to work independently and to carry out assignments to completion with limited guidance.
  • Must be able to work in a team environment and maintain positive and productive relationships with co-workers and vendors.
