Description:

Responsibilities:

  • Ensure the reception area is always kept safe, clean and tidy.
  • Perform receptionist duties such as photocopying, transcribing, filing, sorting, and distributing paperwork.
  • Ensure all visitors to the site sign in following site procedures and if required check IDs such as auditors.
  • Process incoming calls and recording messages, ensuring to divert calls when away from the desk.
  • Check in guests who have scheduled appointments with company executives or clients.
  • Prepare meeting rooms for visits.
  • Ensure reception is manned at all times and meet and greet all visitors.
  • Provide customer support by answering the phone and replying to emails in a timely manner.
  • Support with the customer shop.
  • Keep on top of stationery supplies and ensure they are kept locked at all times.
  • Ensure cost control by choosing stationery supplies that are the most cost-effective.
  • When purchasing using company credit cards ensure to track all spending and save invoices
  • Ensure meeting rooms are always kept cleaned & organized.
  • Ensure all post is distributed to the correct employees.
  • Support with new starter inductions.
  • Arrange DHL first production samples to be sent to customers as requested by QA.
  • Report hygiene issues to QA team.
  • Ensure visitor facilities are in clean order at all times and report concerns to hygiene team.
  • Arrange lunch as required for staff and customer meetings.
  • Arrange transportation and accommodation for visitors to site.
  • Responsibility for ensuring the canteen is stocked with tea, coffee, milk and sugar
  • Complete scanning and filing of HR documents on a weekly basis
  • Arrange and manage charitable donations.
  • Support HR with internal and external events.
  • Support creating posters to add to notice board ensuring they are kept up to date
  • Act as note taker as requested.
  • If required support with customer sales (click & collect).
  • Manage inbound and outbound posts & parcels.
  • Manage DHL tracker & keep analyses updated every week to send to finance team.
  • Conduct weekly fire alarm and AED tests
  • Support during audits by capturing visitors sign in sheet
