Description:

JOB PURPOSE To provide a full and comprehensive reception service at the main Hospice reception desk. To act as a key liaison point for all visitors, patients, internal and external health and social care professionals as required. To answer all incoming calls to the main Hospice switchboard, answering and redirecting people appropriately in a professional manner. MAIN DUTIES Meet and greet all visitors and patients to the Hospice in a polite and welcoming manner, giving directions or escorting them as appropriate.
Meet and greet clinic appointment attendees and direct as necessary while maintaining an electric diary of attendance. Answer the main switchboard telephone promptly with respect and in a sensitive and professional manner, providing an immediate response if possible, taking and passing on accurate messages or answering queries if appropriate. Be confident in the use of an electric till for catering and shop purchases. Ensure patients and their families are given information and assistance with the facilities available.
To be supportive of distressed relatives/visitors in an appropriate manner and offer hospitality as required. Supervise the reception welcome volunteers Coordinate and maintain the reception rota ensuring that there is adequate welcome volunteer cover over lunch, in the evenings and at weekends Ensure cover is arranged with bank staff / welcome volunteers as appropriate for own annual leave or appointments Maintain strict staff, patient and visitor confidentiality at all times. OTHER DUTIES Liaise with internal/external healthcare professionals as required. Maintain a high level of tidiness in the reception area and visitors lounge.
Ensure a safe working environment and be aware of responsibilities under the Health & Safety at Work Act (including infection prevention measures), taking appropriate action in the event of an accident to patients, staff, self or any other person. Keep a daily diary of expected visitors and whats going on; welcome and direct as appropriate. Keep up to date and fully engage with fundraising and retail activities to enable a professional response to any enquiry. Take receipt of deliveries and mark against delivery note, informing relevant person/ department of their arrival.
Frank outgoing post and ensure timely collection. Liaise with the catering department as required Take receipt of monetary donations and gifts in kind when required. In conjunction with the Retail Area Manager ensure the Hospice shop is fully stocked and displays maximised to encourage support. Be aware of emergency procedures and carry them out promptly when necessary Perform any other duties when required demonstrating flexibility and support as delegated by the Office Manager TRAINING AND DEVELOPMENT Discuss own performance with the Office Manager, agree and evaluate objectives on an annual basis.
To meet on a regular basis with the Office Manager to review performance. Ensure online and manual mandatory training is up to date.
