Description:

QUALIFICATIONS:

  • High school diploma or general education degree (G.E.D)
  • 1+ year experience in customer service or similar role
  • Highly dependable to maintain perfect attendance
  • Working knowledge of Microsoft Office Suite
  • Fluent in English, other languages such as Spanish an asset
  • Cheerful, poised manner and presentation, both in person and on telephone

Responsibilities:

  • Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department. Place outgoing calls, as needed.
  • Answer questions about organization and provides callers with address, directions, and other general information.
  • Monitor site CCTV for any suspicious activities and report as appropriate.
  • Welcome on-site visitors and contractors, determining the nature of business, announcing them to appropriate personnel, ensuring they are made fully aware of site rules and restrictions. Relaying messages manually or by email.
  • Monitor visitors, temporary employees and contractors’ access and issue and manage passes, as required.
  • Meeting room management and condition maintenance, organize on-site catering for events and beverages as required.
  • Manage and maintain site stationary, recording stock usage and organizing replenishment as needed.
  • Organizing manual mail shipments using our BluJay system and generate commercial invoices when required.
  • Manage both incoming and outgoing site postage.
  • Update and maintain several databases using Excel and Access software
  • Train switchboard personnel and back-up on all aspects of the switchboard duties
  • Support Office Services and/or Human Resources in routine clerical and administrative tasks that can be accomplished at the front desk
  • Performs other duties as assigne
