RECEPTIONIST

Location: Dublin

The workspace assistant role incorporates several facilities management tasks and is a great gateway into Pareto FM & the facilities sector. This is a full-time role based in Dublin 4 working for us directly. We are looking for the most vibrant, exciting, enthusiastic candidate. We want team members to be outgoing, customer focused, always willing to help and always willing to own a problem to completion.
The person needs to be a team player, who will always go above and beyond to achieve.
Reporting directly to the Workspace Senior Manager (WSM) and Senior Client Team, to manage and develop a Workplace Experience that meets and exceeds customer expectation.
Joining a Multi-Skilled Team in delivery an excellent customer experience, whilst ensuring all services are delivered to contract and legal requirements.

EXPERIENCE:

  • Employment within a fast-paced and varied role/customer service environment
  • Front office/reception/Mailroom or hosting experience
  • PC literate and competent in all relevant MS applications, i.e., Word, Excel and PowerPoint

Responsibilities:

  • Managing the incoming & outgoing mail. Taking ownership of the management of the mailroom
  • Involvement with the wider workspace team, helping maintain areas such as print stations, stationary cupboards and meeting room equipment. Support with events including responding to enquiries, booking rooms, event set up
  • Covering the front desk as/when required. Welcoming and making sure visitors, staff and contractors are assisted/directed, ensuring the check-in process and clients security procedures are maintained
  • Ordering of supplies/stationary/consumables
  • Supporting with the updating and management of digital health & safety/compliance logbooks
  • Dealing with requests via a shared workspace inbox, responding to car-park, meeting room, access and postage requests, if and when required
  • Ad Hoc jobs as directed by the workspace manager. Involvement in small project works
  • Must be prepared to ‘fill the gaps’ and step into any of the facilities roles in times of constrained resource
