POSITION OVERVIEW:

The receptionist is the first point of contact for visitors and callers to the organization. The primary responsibility of the receptionist is to create a positive and welcoming experience for all individuals interacting with the company. This role involves handling various administrative tasks, managing incoming communication, and ensuring the smooth functioning of the front desk area.

QUALIFICATIONS:

  • High school diploma or equivalent.
  • Proven experience in a receptionist or front desk role is a plus.
  • Excellent verbal communication skills and a friendly demeanor.
  • Proficiency in using office equipment such as phones, computers, and printers.
  • Strong organizational skills and the ability to manage time effectively.
  • Ability to handle stressful situations calmly and professionally.
  • Customer service-oriented mindset.
  • Familiarity with basic office software (e.g., Microsoft Office Suite).
  • Professional appearance and demeanor.

KNOWLEDGE SKILLS & ABILITIES:

  • Exhibit a high level of professionalism.
  • Knowledge of full range of complex secretarial functions.
  • Knowledge of data gathering and summarization methods and techniques.
  • Must be able to communicate effectively both verbally and in writing.
  • Knowledge of and understanding of administrative-level correspondence requirements in a political environment.

  • Knowledge of appropriate safeguards for protecting confidential data.

Responsibilities:

Greeting and Welcoming:

  • Greet visitors and guests in a professional and friendly manner.
  • Create a warm and inviting atmosphere for all individuals entering the premises.
  • Direct visitors to the appropriate person or department.

Answering Calls:

  • Answer incoming phone calls promptly and courteously.
  • Provide accurate and relevant information to callers or direct them to the appropriate resource.
  • Take and relay messages when necessary.

Administrative Support:

  • Assist with general clerical and administrative duties as required.
  • Maintain and update records, files, and databases as needed.
  • Handle mail distribution and assist with sorting and forwarding.

Scheduling and Appointments:

  • Manage appointments, meetings, and conference room reservations.
  • Coordinate schedules and communicate with internal staff regarding appointments and visitor arrivals.

Communication:

  • Effectively communicate with internal staff, external visitors, and vendors.
  • Handle inquiries and provide information about the organization’s services or products.

Security and Access Control:

  • Monitor access to the building and enforce security protocols.
  • Issue visitor badges and maintain visitor logs for security purposes.

Maintaining Front Desk Area:

  • Ensure the front desk area is clean, organized, and well-maintained.
  • Keep informational materials and brochures up-to-date and readily available.

Problem Resolution:

  • Handle minor complaints, concerns, or issues from visitors and escalate as needed
  • Provide assistance and guidance in resolving any immediate problems or inquiries.

Multi-tasking:

  • Manage multiple tasks simultaneously while maintaining a high level of professionalism and accuracy.
