Description:

KEY REQUIREMENTS:

  • Prior receptionist or admin experience
  • Open friendly and professional manner that fosters positive relationships
  • Excellent organisational skills with keen attention to detail ensuring smooth operations
  • Ability to effectively manage competing priorities demonstrating adaptability

Responsibilities:

  • Manage day-to-day office operations ensuring smooth workflow
  • Provide warm reception to clients, vendors and other visitors to the office
  • Coordinate typing and formatting of documents using MS Office, mail collection and distribution
  • Ensure efficient coordination and maintenance of all office supplies, kitchen supplies and equipment
  • Maintain an efficient filing system both manual and electronic for the business
  • Participate in management and staff meetings, committees and working parties including organising meetings and typing of minutes
  • Manage booking of couriers, goods inward/outward requirements, equipment repairs and servicing
  • Coordinate staff functions, catering and customer gifts along with associated correspondence
  • Oversee travel management/mobilisation coordination ensuring all documentation is completed correctly
  • Book travel, taxi, accommodation and car hire for site travel while maintaining travel management filing system
