Responsibilities:
POSITION PURPOSE:
The Receptionist would work with the team members of our Sale office and help it run smoothly. They would serve visitors by greeting, welcoming, and directing them appropriately. This role would assist the Office Coordinator in overseeing the security and telecommunications systems. They would support continuity among work teams by documenting and communicating actions, irregularities, and continuing needs and communicating those to the Office Coordinator.
The Receptionist would assist the Office Coordinator in overseeing H&S requirements as necessary (weekly fire alarm tests, fire drills, management of first aid kits, etc.)
THE RESPONSIBILITIES
- Greeting visitors
- Handling queries via phone, email, and general correspondence
- Receiving, sending, sorting, distributing, and dispatching daily mail
- Assisting Office Coordinator in managing H&S requirements as necessary
- Managing meeting room availability
- Recording and maintaining office expenses
- Handling travel arrangements
- Managing office inventory such as stationery, equipment, and furniture
- Overseeing office services like cleaners and maintenance service providers and reporting to Office Coordinator
- Assisting with ad hoc administrative projects as necessary
- Managing office supplies
- Managing meeting room availability
