We have an exciting opportunity for a Receptionist/Team Assistant to join our London office for a maternity cover. We are looking for someone who can provide administrative and organisational support to our teams. This role will be reporting to the Office Manager.
The successful candidate will be able to multitask and prioritise well, has great communication and literary skills, as well as being able to build great relationships.
The candidate should possess excellent written and verbal communication skills, be highly collaborative and flexible, and willing to work in a fast-paced environment.
This is a wide-ranging role, which will suit someone will experience/interest in the Private Equity/Financial services sector. The incumbent will have exposure to exciting projects to support the business.

NECESSARY EDUCATION, QUALIFICATIONS AND EXPERIENCE
- Experience required: Minimum 3 years in a similar receptionist / admin role with an interest in Private Equity/Financial Services
- Experience with Microsoft Office programs (Outlook, Word, Excel, Power Point)
- Knowledge of financial services industry will be advantageous
- Strong work ethic, positive attitude, and exercise prudent judgement
- Strong sense of ownership and accountability, assertive and proactive
- Creative and resourceful, ready to be flexible in a fast-growing business
- A team player, communicative, and enjoys working with a dynamic team
- Strong organizational skills with the ability to manage projects effectively and on-time
- Gravitas, with the ability to exercise discretion and maintain a high level of confidentiality
- Understands the need for confidentiality and dealing with sensitive information
- Ability to work under pressure and handle multiple tasks/assignments
Fixed Term Contract 9-12 months / Hours 8:30am -17:30pm (4 days in the office with one day remote)

Responsibilities:
Front of House
- Meeting and greeting all incoming visitors and escorting to meeting rooms
- Making refreshments for guests and clearing rooms following meetings
- Managing inbox enquiries
- Coordinating meeting room bookings
- Screening and redirecting incoming calls
- Maintaining office security and working with the Building Reception to notify of visitors ahead and manage building passes for employees and visitors from other HL offices
- Ad-hoc administration and support to the front of house team
Administrative support
As Team Assistant you will provide administrative, operational, and executive support to the London office. The ideal candidate will be a proactive problem solver with excellent communication skills and attention to detail.
- Calendar scheduling/management; arranging meetings and conference calls
- Coordinating travel arrangements
- Preparing expense reports
- Preparing HL business materials such printing and binding pitchbooks, training materials etc.
Office Management
- Assisting with regulatory filing
- Maintaining an inventory and ordering of supplies
- Maintenance of a tidy and orderly office
