Job Summary
Position: Records & Document Services Clerk (2 openings to be filled)
Hourly Wage: $28.125
Under general directive supervision, perform a variety of support responsibilities as a rotational position related to Records & Document Services in all areas including Mailing, Duplicating, Records, and Document Control
Job Description

Responsibilities for duplicating/mailing include:

  • Operating, programming, cleaning, and maintaining reproduction equipment and other related equipment required for success of duplication projects, which also includes front-end setup of software to format, store and retrieval for future production
  • Using mechanical skill set to troubleshoot, repair, replenish and resolve common hardware/software issues and working directly with vendor to determine resolution;
  • Accurately interpreting instructions from customers to meet needs and expectations to complete projects accurately, completely, on-time and cost effective;
  • Sorting and distributing incoming and outgoing interoffice, overnight, and US mail including package inspection, tracking overnight packages, handling of parcels up to 50 lbs., and maintaining electronic site personnel telephone directories and mailing distribution lists;
  • Operating motor vehicle safely and in accordance with Company’s rules and regulations; as well as tracking vehicle failures and items requiring attention.

Responsibilities for records includes:

  • Receipt, retrieval, copying and maintaining active/inactive records and record systems (e.g., records management center (IER) and micrographics), including running basic computer reports from various software applications based on established schedules;
  • Operating and maintaining records processing equipment (including scanner, microfilm and aperture card reader) for records requiring retrieval;
  • Ensuring archival and interim storage records are accurately indexed, securely maintained, and appropriately dispositioned in accordance with approved procedures and instructions;
  • Performing data entry utilizing various computer applications (e.g., electronic records management systems, electronic document management systems, and other desktop applications.

Responsibilities for Document Control include:

  • Updating and maintaining the electronic document control system (FileNet ICN), for all controlled documents, including receipt verification review for completeness and legibility of documents in accordance with established procedures; Generating and updating electronic documents though scanner/software for entry into the document control index; and logging to Records Management;
  • Updating, maintaining and/or retrieving information from numerous databases;
  • Generating and updating priority documents in the established priority locations;
  • Performing emergent work activities to support regulatory mandated initiatives or emergent plant issues.

Additional requirements include:

  • Instructing and training employees in the work
  • Assisting employees of higher classification
  • Performing similar or less skilled work as required
  • Maintaining work area and equipment in a neat, orderly, and safe condition.

Qualifications

Must meet the Company’s requirements as to General Qualifications, and in addition:

  • Be a high school graduate or the equivalent; Have the physical ability to lift and carry ~50 pounds (full records boxes); Have a valid driver’s license and meet Company driving requirements to operate company vehicles; Two-year previous office experience, preferably nuclear, with proficiency in Microsoft Office, Adobe Acrobat, and keyboarding.

Must be able to:

  • Complete the Records and Document Control training material within appropriate time
  • Obtain and maintain unescorted access
  • Obtain working knowledge of various types of records and documents required for entry into EDMS and retain for rotational cross-training assignments
  • Communicate effectively and work harmoniously with all levels of employees and outside agencies, providing excellent customer service
  • Work independently to organize and prioritize work with attention to detail and accuracy, under general guidance from supervision and track assignments to completion
  • Problem solve, troubleshoot and resolve other issue related to processes or equipment
  • Understand and have a wiliness to embrace new technologies
  • Learn companies’ organization and mailing system including pick-up and delivery routes,
  • Understand and follow numerous company policies, procedures and business practices
  • Maintain confidentiality of information used or viewed in performance of position responsibilities.
