POSITION OVERVIEW

Calian is looking for a Record Management Specialist to support one of DND’s Medical sections. These services are critical to the smooth transitions and ability to operate in a highly demanding environment within Canadian Special Operations Forces Command (CANSOFCOM).

QUALIFICATIONS

  • Must currently hold a valid Secret (Level II) Clearance with the Government of Canada
  • 5+ years of demonstrated experience in a customer service oriented environment
  • 3+ years of experience using Microsoft Office Suite and a minimum of 6 months experience using a health records management software
  • 5+ years of experience as a reception clerk with a minimum of 12 months experience in a health care setting
  • Must be fluent in English

Responsibilities:

  • Acting as the receptionist and primary point of contact for the medical section which includes greeting all clients, responding to and appropriately directing in-person and phone inquiries, and managing the waiting area
  • Engaging with clients, staff, and other members of the health care team in manner which demonstrates strong interpersonal and customer service related skills
  • Providing administrative and technical support of a clerical nature
  • Utilizing the CAF Health Information System (CFHIS) to manage appointment bookings and schedules for multiple doctors/ medics and to scan patient documents
  • Organizing and maintaining a hard-copy documentation filing system for all patient records
  • Preparing various forms for authorization by clinicians and managers and coordinating off-site referrals for health care services
  • Supporting the maintenance of a safe and healthy work environment
  • Managing the inventory of all consumable supplies which includes stock taking, ordering, re-stocking of shelves, and an ability to lift and carry 25 lbs loads from the ground over a distance of 25m
  • Operating a standard computer system and general office equipment with accuracy and efficiency
  • Demonstrating a knowledge of administrative support practices and methods to facilitate organization and service provision, including document and form processing, labelling, assembling and mailing, file management, drafting of routine correspondence and mail sorting
  • Scheduling of tele/video conferences, processing completed forms and directing requests for related information
  • Knowledge of medical terminology in order to appropriately direct inquiries from clients and other health care providers and to book appropriate appointments
  • Knowledge of problem solving strategies and ability to utilize resource management tools
  • Written communication skills: Proficient use of grammar, spelling and punctuation in the required language
  • Verbal communication skills to explain administrative and Health Services policies and procedures to clients
  • Ability to manage time effectively and balance daily work load
