SUMMARY

KEY QUALIFICATIONS

Experience: 2+ years as an Administrative Assistant or in a similar role supporting leadership.
Languages: Business-level proficiency in written and spoken English and German.
Skills: Strong written and verbal communication skills, Curiosity and attention to detail, Ability to interpret and communicate information, Ability to think independently and make qualified judgments, Computer literacy, Strong organizational skills, Ability to work autonomously on assignments and handle sensitive information with integrity.
Mindset: A growth-oriented attitude and the ability to thrive in a dynamic, fast-paced work environment.
Location: Must be based in Berlin to be considered for the position.

DESCRIPTION

You will be the Research and Development Team Administrator working with the Head of R&D as well as the Leadership team at Pupil Labs. Activities include:
Research Administrative Functions: Co-author and manage funding applications for F&E Zulage and ZIM, assist in the patent process, coordinate other collaboration and funding applications.
Operational Support: Manage office supplies, equipment purchasing, and shipping logistics, invoices payable.
Process Reporting: Track and Report progress on research initiatives, submit payment requests to funding agencies.
HR Support: Assist with employee onboarding and off-boarding, manage equipment setup and returns, and handle light HR duties such as tracking leave requests.
Event and Travel Management: Organize social events and conference participation.

EDUCATION & EXPERIENCE

Bachelor’s degree or equivalent professional experience.
