Job Title: Research Grants Administrator

Salary Band: 3 ($50,000 - $68,000 CAD)

QUALIFICATIONS:

  • Bilingual (English/French) required, with excellent proficiency in both languages (written and oral)
  • 2-3 years of related experience, in a health-related setting preferred
  • High level of expertise with Microsoft Office (particularly Word, Outlook, Excel and PowerPoint)
  • Technical aptitude required: experience with grants management software, financial software, Sitecore, Crystal Reports and/or project management software beneficial
  • Formal administration training, particularly in MS programs
  • Business or health related training preferred
  • Ability to demonstrate tact and diplomacy with internal and external stakeholders and deal with confidential information on a regular basis
  • Excellent communication skills (both written and verbal)
  • Superior attention to detail and ability to prioritize and multi-task using strong critical thinking skills
  • Ability to work both independently (self-starter) and collaboratively as an effective team member

Responsibilities:

WHAT YOU’LL BE DOING:

1.Research Competition Administration

  • Review and update tipsheets and other technical support documents (in English and French) prior to each competition launch
  • Monitor the Research inbox (research@cancer.ca) and support applicants with technical issues prior to application deadlines (in English and French), creating/updating internal documents/templates to streamline and ensure consistency of responses
  • Support updates to French language documents (from English versions)
  • Proofread final documents (e.g. applicant guides), ensuring numbering, links and bookmarks are accurate, and PDF’ing documents prior to competition launch
  • Participate in testing of application configuration and grant review process in the grants management system
  • Make grant program-related website updates in English and French (e.g., create competition announcements, upload updated files, results announcement, etc.) via Sitecore
  • Run standard reports (in Crystal Reports) to support research competition administration
  • Participate in the administrative review of submitted grant applications to ensure completeness and compliance with competition requirements
  • Support panel recruitment by populating recruitment lists, entering confirmed reviewers into the grants management system, booking required meeting rooms and sending calendar invitations for panel meetings
  • Assist with reviewer assignment entry into the grants management system
  • Create individual Scientific Officer templates for panel meetings
  • Create signage and nameplates for face-to-face meetings
  • Participate in the administrative review of Scientific Officer and Reviewer reports
  • Collate award packages and send results to applicants via email
  • Process expenses for reviewers
  • Process remuneration claims for patient/survivor/caregiver (PSC) reviewers under the direction of the Manager, Research Partnerships & Engagement

2.Research Grant Administration

  • Monitor the Research inbox (research@cancer.ca) and respond to questions (in English and French) utilizing critical thinking skills to respond to and/or redirect questions to appropriate team members for response in a timely manner. Create/update internal documents/templates to streamline and ensure consistency of responses.
  • Participate in administrative review of annual progress reports, and follow-up with grantees as needed
  • Run standard reports (in Crystal Reports) to support research-related queries
  • Follow-up with grantee and signing authorities for grant acceptance
  • Support the annual review of CCS Research policies and procedures by collecting issues throughout the year and flagging areas for review
  • Assist with research publications tracking for partner funded grants
  • Process training award and permanent equipment reimbursements
  • Send monthly statement of account reminder e-mails (for ad hoc reports)
  • Review and follow-up with long outstanding reports for grant close-out

3.Research Team Operations

  • Team meeting management (sends calendar invites, sets agenda with input, circulates action items, etc.)
  • Reconcile departmental credit card monthly
  • Manage Team vacation schedule (send reminders to teammates to ensure all vacation dates are entered)
  • Create and post out-of-office messages to research@cancer.ca as needed
  • General administrative duties as needed

The Canadian Cancer Society (CCS) is Canada’s largest charitable funder of cancer research. Reporting to the Senior Manager, Research Programs, the Research Grants Administrator works collaboratively with other members of the Research Team to provide efficient, practical support related to research funding competitions and research grants administration, as well as research team operations.
