QUALIFICATIONS AND EVALUATIONS

Requirements:
EXPERIENCE: One year of progressively responsible office experience that combined/included receptionist, customer service, administrative, and clerical duties.
JOB KNOWLEDGE: Knowledge of standard office procedures. An understanding of the importance of quality customer service and the principle of confidentiality needed in an embassy and security office environment
Education Requirements:
High school diploma or the equivalent is required.
Evaluations:
LANGUAGE: Fluency in English. Good working knowledge in French and Dutch. This may be tested.

Qualifications:
All applicants under consideration will be required to pass medical and security certifications. All candidates must be able to obtain and hold a Sensitive But Unclassified (SBU) certification.

Responsibilities:

Serves as the Residential Security Clerk and assistant for the Regional Security Office (RSO) within the Residential Security Unit (RSU) and is the lead for all administrative functions and requirements. Acts as liaison between the Residential Security Coordinators (RSC), security vendors, GSO Housing and Procurement, Financial Management Office, and Facilities Office.
Customer Service: Serve as the first point of contact for Residential Security Unit (RSU) customers (FSOs and EFMs residing in COM housing). Receive and process quotes for equipment and services from vendors, enter and track procurement requests, and follow-up with vendors and related Mission offices in an expeditious and efficient manner. Assist in scheduling user briefings, installation or repair appointments, RSU meetings, and maintain related calendars. Effectively handle incoming phone calls, emails, and inquiries with professionalism.
Coordination: Coordinate RSCs, Facilities, and GSO Housing efforts in providing the best service possible regarding RSO’s commitment to the provision of safe and secure housing while on assignment to Tri-Mission Brussels. Track arrivals and departures to ensure that security upgrade surveys and approvals for new and existing leases are delivered in a timely and accurate manner. Interface with GSO Housing and Facilities to monitor which properties will be renewed or dropped from the Embassy Housing pool. Schedule surveys and installations in cooperation with RSCs, Facilities, GSO, landlords, contractors, vendors, and tenants.
Administration: Manage all RSU files and documentation. Covert data into completed surveys. Prepare and maintain all RSU electronic and paper files in an efficient and orderly manner (using the DS Certified Application). Ensure that all installations and repairs related to certifications and recertifications are completed and documented. Prepare internal and external correspondence for the RSO’s signature with little need for correction. Draft funding request cables for ARSO and DS/PSP review and approval. Track the properties due for 5-year annual inspections. Assist GSO with key control and accountability. Order and manage RSU office supplies to ensure availability for daily operations.
