Role purpose
The Revenue Administrator (RAD) is responsible for timely and accurate system maintenance; set up and integrity of the Property Database (including leases, recurring charges such as base rent, outgoings, rates, electricity and other miscellaneous charges); as well as ensuring all tenants are billed in accordance with the Lease in place.
Additional responsibilities include the timely and accurate production of the Tenancy Schedule and other ad-hoc reporting published to internal and external stakeholders alike. This role will play a key part in ensuring operational excellence and continuous improvement of retailer billings, approvals and organisational reporting processes.
Key Responsibilities

  1. Maintain Vicinity ERP Property Database including Integration of New Centres, execution in property database of divested assets, completing Bank Guarantee audits and Administration of Rates
  • Set up and review of Lease and billing information from lease instruction document & check

    accuracy of any previous input

  • System update of any tenant and billing changes e.g., Lease Assignment, Insolvency, and Rent

    Rebates etc.

  • Activate or terminate Leases in Property Database including coordination of any approvals

    required

  • Track, review & action all rent reviews

  • Track, review & action all survey requirements to ensure accurate Gross Lettable area (GLA) &

    outgoings recoveries

  • Track, review & action as needed all residential property

  • Support Capital Transactions team for acquisitions & divestments
  • Maintenance of the Central Address Book (CAB) of tenant / lease details
  • Unit creation, review and approval of Tenancy Capital Request (TCR) forms
  • Update security maintenance information for accurate Bank Guarantee reporting
  • Complete year end tasks such outgoings washup uploads into ERP
  • Uploading rates into JDE for budgeting & reporting purposes
  • Supplementary valuation and refund reconciliations. Apply credit/debits to tenant’s accounts.

    Processing payment/refund required

  • Building & maintaining strong relationships with Rating Authorities & external consultants to

    ensure ideal outcomes when issues arise

  1. Produce reports which accurately reflect recoveries and income under the Lease
  • Ensure the integrity of data appearing on the Tenancy Schedule by completing integrity

    reporting and review of comparison report

  • Ensure that portfolio Tenancy Schedules are completed and made available to the business

    within agreed time frames Ensure work instructions are kept updated, procedural changes

    delivered to the team & team members advised of any changes which may affect reporting

  • Action adhoc requests for reporting only with relevant approval guidelines

  1. Issue Invoices & Statements to Tenants
  • Ensure that billing is completed at lease instruction, or within agreed parameters to enable

    tenant to meet pre-trade requirements

  • Processing manual billings- lease incentives, refunds, bad-debt write-off, legal costs, Landlord

    works (Category 1) costs (development and reconfiguration)

  • Calculations and billing of surrender fees, rent free fit outs, rental rebates and rental concession

  • Run & action monthly Billing Control Reports prior to billing run to ensure accuracy of billing
  • Ensure Business notifications are sent out in a timely manner
  • Run post statement control reports to ensure Aged Trial Balance (ATB) & Statements balance

    each month

  • Coordinate with printer as per Statement Run checklist to ensure statements are sent in line

    with Service Agreement in place.

  • Rates billed to tenant in accordance with Lease for the earlier of next statement run after bill

    received or next due tenancy schedule

  • Process electricity and gas charges for portfolio

  1. Training, Induction and Process Improvements
  • Actively participate in efficiency projects when nominated, which may involve team and cross

    functional collaboration

  • Induction on Revenue Administration processes to other departments such as Accounts

    Receivable, Property Accounting, Legal Ops and Leasing

  • Team leader roles- learn and develop a better understanding in role area.

  • Action items relating to the team leader role and improve on processes where possible.
  • Developments- attend meetings, mapping & creation of units, accurate Lease set-up, create

    development outgoings rates, pre-trade billing, and recurring billing commencement as per
    Lease. Post development evaluation of units and rates

Capability and Experience
You will be an experienced administrator with a background in financial administration and reporting. You will be an outstanding communicator who manages stakeholders in collaborative manner. You will be task oriented and able to manage and prioritise your workload to meet deadlines. Your will have an outstanding attention to detail, strong analytical skills and good communication skills when dealing with customers. Experience in lease documents and ERP systems such as JDE would be advantageous, but not essential.
