Descripción General:

Essential duties and responsibilities:

  • Support the Sales department in the registration processes in our clients’ systems, maintain the information corresponding to contracts, payment terms and conditions, require invoicing, send or process invoices in the corresponding client portals and, once the collection has been made, send the client the tax payment receipts.
  • Maintain control of customer information, process contracts, registrations, and manage bid, purchasing, billing, and collections portals.
  • Register customers in our system with the required information and keep such records and information updated promptly.
  • Manage the validation, signature and changes to legal documents required by clients and our organization.
  • Follow up on tax cancellations of invoices with customers, maintaining constant and fluid communication regarding tax processes between customers and AVI-SPL.
  • Issue weekly and monthly reports derived from commercial activity.
  • To keep control and record of the opportunities that come from the work of marketing or third-party companies in the generation of demand.

  • Fluent level of English: Ability to express any idea without hesitation, with good vocabulary and grammar. Clear oral and written skills.
  • Experience using ERP: Microsoft Dynamics 365.
  • Desirable: Knowledge in the Intelisis system.
  • Mastery of the MS Office package, especially Excel, with advanced skills in the creation and handling of pivot tables, application of conditional formatting and mastery of search and reference formulas.
  • Ability to prioritize tasks and work under pressure.
  • Great numerical and analytical capacity.
  • Demonstrated experience in administrative or sales support functions: Customer registration, payment management and collection systems and portals.
  • Knowledge of invoicing, electronic payment receipts and the requirements established by the SAT in relation to billing and collection processes.
  • Excellent organizational and time management skills.
  • Verbal and written communication skills for customer service in the management of administrative sales processes.
  • Ability to work in a team and follow up on multiple tasks with different interlocutors.
  • Document management and management: Registration of requirements and commercial conditions of the client portfolio.

Education and/or Experience:

  • Minimum of a high school diploma or equivalent
  • Minimum 2-4 years of experience with office administrative functions preferably
  • Intermediate competence with proven experience in the use of office suites (Word, Excel, Powerpoint)
