Job description

EXPERIENCE PROFILE:

  • Proven experience in an Marketing & Sales Assistant role within a fast-paced environment or equivalent.
  • High proficiency with Microsoft Office (incl. Excel Pivot)
  • Fluent in German and
  • Excellent communication and personal skills – both verbal and written.
  • Exceptional organisation skills, ability to prioritise and be calm under pressure
  • Keen attention to detail and accuracy on data entry
  • Positive and can-do attitude, with a common-sense approach to problem solving and the ability to use own initiative
  • Reliable, dependable and ability to maintain strict confidentiality
  • Responsible and focused approach to independent and collaborative work, with the ability to prioritize and deliver high quality work to deadlines.
  • Innovative and ambitious mindset, with an inquisitive and agile approach to problem-solving and overcoming technical challenges; motivated to continuously learn and take on challenges.

Responsibilities:

KEY RESPONSIBILITIES:

  • Provide effective support for Country Manager AT/CH and Austrian leadership team (Sales Manager, Marketing Manager, Key Account Manager).
  • Manage projects in partnership with the team and own tasks delegated as appropriate.
  • Perform complex administrative tasks as required.
  • Partner with support teams and vendors for any technology, facilities, or support needs that arise for the business.
  • Organize and support key meetings and company events.
  • Partner with teams on content preparation for internal communications & external engagement.
  • Support operational tasks and processes for the team, suggest ideas for continuous improvement
  • Arrange travel bookings, ensuring adherence to corporate travel policy.
  • Build and maintain a trusted working relationship with the local team, alongside building effective relationships with other colleagues over the globe.
  • Take initiative to rapidly resolve general issues and queries in an efficient manner.
  • Represent the office with competence and professionalism.
  • Operate at the highest standards of confidentiality and discretion.

SPECIFIC TASKS :

  • Sales and market analyses (direct sales, market share, target/actual comparison,…)
  • BI tool for KPI tracking (e.g. visit statistics, order pattern, order fulfillment, samples, daily report and monthly report, etc.)
  • Vendor Management for marketing, advertising materials and submission articles, including request for quotations and invoice control
  • Budget and invoice control (e.g. expense report from the team)
  • Organization of events/congresses and sales conferences regarding booking, accommodation, food
  • Travel Arrangements for the team
  • Management of hardware and software together with IT partner
  • Front Desk responsibility (management of daily post, telephone)
  • Office Management
