Baystate Health, a nationally recognized leader in healthcare quality and safety, and home to Baystate Medical Practices, the largest multispecialty group in the region is looking for a Schedule Optimization Analyst for Ambulatory Services.
The Schedule Optimization Analyst is responsible for creating and analyzing data, identifying trends, and making recommendations to improve access through the design, monitoring and maintenance of optimized ambulatory schedules.
Will work with the Ambulatory Capacity Manager, clinical leaders, and Contact Center to recommend and implement solutions for access delays and optimization strategies. Partners with Ambulatory Quality Department to produce reports focused on quality metrics related to access.

REQUIRED WORK EXPERIENCE:

  • Bachelor’s degree in healthcare administration, business analytics, or a related field preferred.
  • 3-5 Years, experience in capacity management, data analysis, systems analyst or healthcare operations is preferred.
  • Proficient in data analysis tools and software (e.g., Excel, SQL, Tableau)
  • Strong analytical and problem-solving skills with the ability to interpret and simplify findings from complex data sets.
  • Excellent communication skills, both written and verbal, to effectively present findings and recommendations, with an emphasis on tact and diplomacy.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • Strong attention to detail and organizational skills.
  • Knowledge of ambulatory care operations and scheduling systems to include: Centricity Business (CB) , Clinical Driven Revenue Cycle (CDRC), Oracle preferred).
  • Knowledge in schedule building and template management

Bachelor of Arts (Required)

Responsibilities:

  • Responsible for gathering and analyzing requirements, design, and facilitating implementation of standardized data reporting for ongoing capacity management analytics.
  • Monitor and analyze data related to capacity utilization, appointment scheduling, template utilization, and patient demand.
  • Identify and communicate trends to improve capacity utilization and access to care with
  • Partner with budget department to match budget to mission-based tools that match built schedules
  • Prepare regular and ad hoc/custom reports and presentations for stakeholders to highlight key findings and recommendations.
  • Serve as liaison to system administrator(s) to understand, maintain and update tools including analytics dashboards, Centricity Business, SurgiNet, Clinical Driven Revenue Cycle Mission-Based
  • Working with Quality Department on reporting requirements, create reports of key access metrics for service lines such as covered lives and medicare wellness visits.
  • Participates and facilitates ongoing improvement cycles with service line leaders including audits and tests of change. Help teams define the problems/opportunities with data, establish measurement systems, and conduct analysis on templates and arrived schedules to ensure supply demand matching and optimized patient access.
  • Provide liaison support, training and ongoing feedback to team and service line stakeholders to ensure consistent understanding and use of tools and analytics to support capacity management.
