QUALIFICATIONS

  • At least 3 years of secretarial experience.
  • Experience in support for senior management will be an advantage.
  • Minimum GCE O’ Level or Diploma level.
  • LCCI Secretarial Training Certificate or a good Certificate / Diploma in Secretarial qualifications.
  • Able to assist and support in planning and organising team meetings and activities.
  • Able to work as an integral member of the secretarial team.
  • Able to build good relationships with stakeholders within and outside the organization.
  • Communicate well with all levels.
  • Time management and prioritizing workload.
  • As stated earlier in Scope of Role’.
  • Proficient in Microsoft Office tools and office equipment operation.
  • Ability to maintain an objective and professional disposition, especially in the face of challenges.

Responsibilities:

PURPOSE

To provide secretarial support to the assigned senior management team and business units.

KEY RESPONSIBILITIES

  • Provide effective secretarial support to the senior management assigned.
  • Plan, organize and coordinate meetings/activities.
  • Provide support in material preparation for meetings, eg. powerpoint, spreadsheets, material collation, etc..
  • Manage and collate confidential databases.
  • Handle incoming and outgoing email correspondences, expense claims, travel arrangement, telephone calls.
  • Maintain an organized filing system.
  • Cover duties for team members during absence.
  • Keeping abreast of new IT office tools to be able to render necessary support to stakeholders.
