Description:
The mission of The University of Texas M. D. The primary purpose of the Academic Coordinator - RTP position is to provide first-line customer service, coordinate all aspects of trainee onboarding and perform independent administrative duties related to human resources, educational appointment, academic program support, database maintenance, and ensuring compliance with institutional regulation for all research, clinical and observer trainee populations.
PROVIDE LEADERSHIP, GUIDANCE, SUPPORT, AND EDUCATION TO ASSIGNED PROGRAMS AND DEPARTMENTS (40%)
- Ensure compliance with institutional policies, government regulations, and appropriate oversight agency requirements.
- Serve as a Research Trainee Programs liaison on behalf of trainee/program with internal departments, i.e., Benefits, Payroll, PeopleSoft, etc.
- Respond to calls and emails from applicants, trainees, and other internal and external stakeholders to answer questions, solve problems and perform related tasks as required or assigned.
- Assist in the development and delivery of in-service presentations; serve as a leader for one administrative workshop annually.
EDUCATION
Required: Bachelor’s Degree.
EXPERIENCE
Required: Five years professional human resources, education or business experience. May substitute required education degree with additional years of equivalent experience on a one to one basis.
Preferred: Five years of experience in human resources, education or student affairs environment or business-related field.

Responsibilities:
- Process all aspects of educational appointments and reappointments in compliance with departmental and institutional policies, government regulations, and appropriate oversight agency requirements for the institution’s research trainee population.
- Manage and maintain information systems and databases pertinent to educational programs and trainees.
- Maintain complete and accurate electronic records for all trainees by ensuring the timely scanning of all relevant appointment documents.
- Review, process, and resolve issues related to HRIS and SOX reconciliation reports.
- Coordinate educational sessions for new department/program staff in assigned departments.
- Serve as a backup for other members of the Research unit.
