Responsibilities:
WHAT YOU’LL DO:
As a Senior Administrative Assistant, you will play an integral role in supporting the Portfolio Management team. Your responsibilities will include coordinating travel arrangements, managing calendars, assisting with expense preparation and tracking, reviewing invoices for payment approval, providing support for meetings, events and conferences as well as managing team leave records. You will also be responsible for attending to guests professionally at the reception when required. Your ability to multitask will be crucial in this role as you juggle various tasks such as arranging meeting room bookings, gathering company reports and inputting company meetings on EME meetings.
- Coordinate travel arrangements including booking of flights, hotels, transfers, visas etc
- Manage calendars effectively
- Assist in expense preparation, submission and tracking via Workday Expense
- Review, record and obtain required approvals for invoice payments
- Coordinate and provide support with meetings, events and conferences when required
- Attend and receive guests at the reception on the assigned floor in a professional manner when required
- Assist with meeting room bookings and arrange refreshments where necessary
- Assist in gathering company reports, presentations in advance to the meetings
- Manage team leave records and submissions via Workday Leave management
- Input company meetings on EME meetings
The ideal candidate for the Senior Administrative Assistant role brings a minimum of five years’ experience in administrative duties within the financial services industry. She possesses excellent verbal and written communication skills coupled with effective interpersonal skills. Her ability to work independently is matched by her capacity to multitask and manage various tasks simultaneously. She is meticulous, solution-oriented and detail-focused. Her strong interpersonal skills make her a team player who collaborates effectively with others. Proficiency in MS Office applications including Word, Excel, PowerPoint, and Outlook is also required.
