Responsibilities:

We are looking for a Senior Administrative Assistant to support our Chief Product & Innovation Offier in our Luxembourg location. In this role, you will be providing administrative and coordination support to the CPIO’s office.
Your days will consist of day-to-day administrative tasks, coordinating schedules and ensuring efficient operation of the CPIO’s office. As a key enabler to the leadership team, you will facilitate smooth communication between the CPIO and other executives, team members, and external partners, helping to manage projects and commitments aligned with the company’s goals.

You will be responsible for (this is not an exhaustive list):

  • Manage the CPIO’s calendar, including scheduling meetings, appointments, and travel arrangements
  • Assist in project management tasks, including monitoring deadlines, updating schedules, and liaising with different teams to gather project status updates
  • Handle incoming calls, emails, and other communications professionally and confidentially
  • Prepare meeting agendas, provide reminders, and organize necessary materials
  • Draft communication, presentations, reports, and other documents as needed. Ensure that all documents are maintained with confidentiality and discretion
  • Handle expense reports and budget tracking for the CPIO’s office
