As a key component of the St. Jude 2022-2027 Strategic Plan, the new Office of Data Science seeks a Senior Administrative Coordinator. This role is not just a job but a crucial point of contact for several institutional and departmental initiatives. The candidate will provide administrative support, including office management, event coordination, vendor management, and report preparation. Outstanding candidates will have exceptional written and verbal communication skills, travel management, and experience communicating with a wide range of individuals from the executive suite to individual contributors. The ability to work independently in a fast paced environment with cost center management experience is highly preferred.
This position is located on our beautiful campus in Memphis, TN and will require onsite work Monday - Friday with standard operating business hours.

Job Description / Responsibilities:

  • Serve as the communication liaison and critical administrative contact for the Office of Data Science
  • Schedule meetings regularly, manage events, manage logistics, manage vendors, coordinate with other teams on financial systems, etc.
  • Prepare ad hoc and recurring reports, analyze trends, and communicate insights independently.
  • Support the planning and coordination of department or organization-wide events/ meetings.
  • Work with departmental and institutional managers to manage and monitor the department budget.
  • Take the lead in coordinating small projects/ activities and significantly support large special projects.
  • Support the ODS Executives by managing their calendars, scheduling meetings and travel, managing CVs and bio sketches, organizing events, and supporting special projects.
  • Oversee aspects of the recruitment process by developing & coordinating itineraries for visitors and recruits, including senior members.
  • Support the management of compliance training, reporting, and issues.
  • Mentor junior members of the admin team.
  • Perform other duties as assigned to meet the goals and objectives of the ODS and the institution.
  • Maintains regular on-site and predictable attendance.

MINIMUM EDUCATION AND TRAINING:

  • High school diploma/GED required.
  • Bachelor’s degree strongly preferred.

MINIMUM EXPERIENCE:

  • Minimum Requirements: High School Diploma and 8+ years of experience in administration or a related area OR Bachelor’s degree with 2+ years of experience.
  • Experience in event coordination and vendor management.
  • Experience in communicating with a variety of stakeholders.
  • Experience managing documentation, generating reports, and doing simple analysis.
  • Substantial experience working with office technologies, including Microsoft Office (Outlook/Word/ Excel/PowerPoint, etc.).
  • Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Excellent communication and interpersonal skills, with a professional and courteous demeanor.
  • Ability to work independently with minimal supervision and as part of a team.
  • Previous experience in a supervisory or leadership role is a plus.
