The Opportunity
We are seeking an experienced, detail oriented and highly organized Senior Administrative Executive to streamline and work within the operations and administrative functions within our practice. The ideal candidate will have a strong background in managing office operations and processes, and proficiency in SAP and other enterprise business systems.
To succeed in this role, you should be able to manage tight and simultaneous timelines across ongoing office administrative needs and other requirements. Strong writing skills, attention to detail with each unique task, a pro-active work mindset, and ability to work independently are also essential.
Your Responsibilities
Project and Finance Admin Support
- Provide administrative support to project teams.
- Guide and Support project teams in the use of SAP and other systems for time sheet clocking, claims, processing of invoices.
- To maintain records of office purchases, purchase requisitions, purchase orders, supplier invoices, and correspondence
- Manage, put-up purchase requisitions and issue purchase order in our enterprise business system. Effectively schedule and track the full requisition, purchase order and and payment processes.
- Verify, review invoices for accuracy and compliance and resolve discrepancies, if any, with internal departments and stakeholders.
- Liaise with Finance and Vendors on payment/invoice issues.
- Put up reports related to procurement and payment activities
Operations efficiency
- Support the Admin Manager to develop and implement strategies for office policies and procedures to enhance operational efficiency.
- Collaborate closely with various team members and departments to ensure seamless integration of office functions.
- Collate operations report from various team for Monthly Management reviews.
General Administrative Support
- Provide high-level administrative support to the executive team.
- Organize and schedule meetings, appointments, and travel arrangements.
- Maintain and manage office records and filing systems.
- Handle confidential information with discretion and integrity.
- Co-ordinate meetings where required and provide overall office operations support.
Requirements
- GCE O/A or with Diploma in Business Administration or Management equivalent
- Min 3 years of relevant experience, preferably in an architectural, engineering, or any other professional services office.
- Experience working in a shared service environment is essential.
- Proficiency in SAP and experience with other enterprise business systems.
- High Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Proactive, flexible, adaptable, diligent and well-organised
- Excellent organizational, multitasking, and time-management skills.
- Independent, positive working attitude and able to handle multiple tasks.
- Good communication and coordination skills
