The role is spilt as follows:
Executive Assistant to Partner / Associate Partner / Director Support
70% (variable) provision of full support assistance to an allocation built from Partner / Associate Partner / Senior Directors.
Leadership Support Centre (LSC) Senior Assistant
30% (variable) supporting the LSC management team in coordinating the provision
Executive Assistant to Partner / Associate Partner.
- Extensive calendar and diary management; scheduling client and senior stakeholder meetings
- Coordinating schedules, meetings and appointments
- Client relationship; supporting meeting materials, coordinating schedules, organising logistics and diary invites
- Travel arrangements; arranging travel, PTA, visas and booking accommodation
- Expense management
- Out-of-Office alternative contact; supporting the movement of client emails during periods of absence and leave of Senior Directors
- Building strong relationships with key client EAs
- Establishing a rapport with clients, Partners, Directors and staff
- Cover during periods of holiday and sickness
- Maintains a positive, professional and proactive approach; articulates thoughts and ideas in a manner which instils confidence in others and builds relationships at all levels across the business and with external contacts
Senior Assistant, Leadership Support Centre (LSC)
- Supporting the day-to-day operations and deployment of the LSC EA team; proactively supporting business demand, reviewing resource allocations accordingly and ensuring smooth service transition of additional work
- Supporting the LSC management team in resolving escalations
- Conflict resolution and ability to influence and negotiate with senior stakeholders
- Enhancing and championing national working policies and practices
- Collaborating cross-geography and cross-culture to develop relationships with team members to ensure diverse contribution to solutions
- Contribute to wider projects and initiatives within Business Support, as required
- Leading process and service delivery, supporting coaching and sharing knowledge with the team
- Supporting diverse teams within an inclusive team culture where people are recognised for their contribution
CONNECT TO YOUR SKILLS AND PROFESSIONAL EXPERIENCE
- GCSE education, including Math and English (or equivalent)
- Good working knowledge of Microsoft office (Word, Excel, PowerPoint, Outlook)
- Excellent organisational and diary management skills
- Ability to plan, prioritize, multi-task and manage own workload to tight deadlines
- Relevant experience of standardising and improving ways of working.
- Proactive and creative approach to problem solving - ability to ‘think outside the box’
- Strong written and oral communication skills; ability to draft own correspondence
- Ability to manage senior stakeholders effectively.
- Ability to work effectively under pressure and to prioritise workload.
